Under the direction of the Senior Manager, Executive Administration, the Supervisor, Executive Administration – Office of the General Manager (GM) will oversee and coordinate the administrative and professional support functions for the executive administrative team within the Office of the General Manager (OGM). This position will collaborate with their leader to ensure the accuracy and integrity of department policies and procedures. The Supervisor will also supervise and provide oversight to the OGM executive administrative staff to ensure that they are effective and successful in achieving the goals and objectives of the Casino enterprise. The Supervisor will also provide operational and administrative support for the General Manager (GM) and other OGM executives as required.

Essential Duties And Responsibilities

  • Collaborates in the planning and organization of management meetings and represents the office of the GM, as necessary. Drives continuous improvement by focusing on projects which will have the greatest impact to the property’s performance.
  • Serves as a diplomatic gatekeeper that effectively filters both internal and external calls, visitors and other inquiries that may impact the GM and other members of the OGM leadership team. Establishes procedures, practices, and work methods to increase work unit effectiveness and efficiency. Resolves obstacles to success through clear plans of action, is self-directed, and uses innovative problem solving and critical thinking approaches to recommend solutions.
  • Plans, schedules, and organizes the GM’s and other executive’s Outlook calendar and related activities; coordinates day-to-day activities, manages schedule conflicts and challenges; provides daily itineraries as required. Works closely and effectively with the GM while keeping him or her well informed of upcoming commitments and responsibilities and follows up appropriately. Prepares the GM and other executives with insights and information to maximize his or her effectiveness in meetings.
  • Communicates frequently with the administrative team, OGM leaders and other stakeholders to ensure the administrative team is meeting needs, objectives, and deliverables. Ensures administrative department projects and objectives are met by monitoring and measuring progress; coordinates the people and resources necessary to implement plans.
  • Analyzes internal processes and recommends and implements procedural or policy changes for improvement on a continuous basis. Conducts research and prepares information needed by the GM and other executives for Casino reports and presentations, including all supporting documents, charts, spreadsheets, etc. Performs special studies as assigned including preparation of written and/or verbal reports.
  • Assists in developing and implementing strategies, department goals & plans while ensuring the Yaamava’ Resort and Casino at San Manuel Vision, Mission, Values are integrated, along with the standardization of all aspects of the operations. Ensure that operational processes and projects stay within agreed upon budgets, scope, and timelines. Perform risk analysis to minimize project risk.
  • Manage Casino relationships, set expectations, and obtain and create accountability around service level agreements while maintaining the highest level of professionalism and confidentiality.
  • Collaborates with the Senior Manager, Executive Administration to plan all offsite meetings that involve the Casino executive team. Meeting planning may require frequent travel and the ability to modify travel plans and arrangements on short notice.
  • Performs other duties as assigned to support the efficient operation of the department.

Supervisory Responsibilities

Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring and training employees; planning, assigning reviewing and directing work; evaluating and appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Makes hiring decisions and designs individual development plans with succession planning in mind for all key roles.

Education, Experience And Qualifications

  • Bachelor’s degree in business administration or equivalent required.
  • Minimum five (5) years of relevant and progressive experience required; experience must include three (3) years of direct support of senior executive level professionals and supervisory responsibilities.
  • Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above.

  • Experienced at managing the competing demands and tradeoffs between on-time delivery and high quality of deliverables.
  • Possesses a work history that demonstrates resourcefulness and effective problem solving in ambiguous situations.
  • Ability to apply critical thinking skills, can multi-task, acts proactively and can manage multiple priorities simultaneously without compromising exemplary support for Casino executives.
  • Robust project management experience required as well as offsite meeting planning.
  • Must consistently maintain poise and a professional demeanor in challenging and high-pressure situations.
  • Must be conscientious, never wavering from a presentable and professional image as the representative of the OGM.
  • Practices resiliency, common sense, and situational awareness as well as the ability to appropriately adapt between amicability and assertiveness.
  • Ability to exercise personal initiative and anticipate the needs of the GM and other key executives.
  • Advanced proficiency in Microsoft Suite including Outlook, Word, Excel, Power Point and Visio required.

LICENSES, CERTIFICATIONS AND REGISTRATIONS

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.
  • Certified Professional Secretary (CPS) and/or Certified Administrative Professional (CAP) accreditations highly preferred.
  • Driving Responsibilities: Role requires regular commuting between locations. A valid driver's license and vehicle insurance with minimum liability limits is required. Role will not operate or drive Tribe-owned vehicles or patron vehicles.

  • Primary work environment is in a climate-controlled office setting.
  • Work requires travel to attend meetings, trade shows, and conferences.
  • Incumbents may be required to work evening, weekend and holiday shifts.
  • Must be able to work in a fast-paced, high-demand environment.
  • Strength sufficient to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects and/or move up to 40 pounds occasionally.
  • Sedentary work: involves sitting most of the time. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Physical activities that apply to the essential functions of the position are balancing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting, grasping, talking, hearing, and repetitive motions.
  • Hearing sufficient to hear conversational levels in person, via videoconference and over the telephone.
  • Speech sufficient to make oneself heard and understood in person, in front of groups, in meetings, via videoconference and over the telephone.
  • Visual acuity that meets the requirements of the position: The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; expansive reading and visual inspection of employees, visitors or facility.
  • Mobility sufficient to safely move in an office environment, walk, stoop, bend and kneel, and enter, exit and operate a motor vehicle in the course of travel to promotional events, meetings, conferences, trade shows and San Manuel properties.
  • Endurance sufficient to sit, walk and stand for extended periods, and maintain efficiency throughout the entire work shift and during extended work hours.
  • The employee may be exposed to fumes or airborne particles including secondhand smoke.
