Toyota’s Sustainable Development Division (SDD) is looking for a passionate and highly motivated Executive Administrative Assistant to join our team.
The primary responsibility of this role is to provide comprehensive administrative support to the Vice President by handling a range of executive support tasks and facilitating effective communication within the organization while contributing to the development and implementation of strategic initiatives.
Reporting to the Vice President, Sustainable Development, the person in this role will support SDD’s mission to expand access to opportunities and create a culture that embraces diversity and inclusion to strengthen communities and our business.
This position is based in Plano, Texas. The selected candidate will be expected to reside within commutable distance of this location.

What You’ll Be Doing
- Manage the VP's calendar and travel arrangements, ensuring optimal time management and prioritization of tasks to align with strategic objectives.
- Prepare and edit correspondence, presentations, and reports for the VP, maintaining a high level of accuracy and attention to detail, and ensuring alignment with strategic goals.
- Coordinate and schedule department meetings, including preparing agendas and following up on action items, with a focus on strategic priorities.
- Oversee the daily operations of the VP's office, ensuring a well-organized and efficient work environment that supports strategic initiatives, including maintenance of office supplies and equipment.
- Facilitate effective communication within the SDD executive team and across the organization, with a focus on strategic alignment.
- Process expense reports in a timely manner, with strong knowledge of Travel & Expense policies to ensure compliance.
- Apply judgment with full understanding of urgency, confidentiality, and priorities of the business, routinely needing to multi-task with little to no direction.
- Represent the Sustainable Development Division with poised and highly professional written and verbal communication, both internally and externally.
- Be the voice for continuous improvement in approach and processes.
- Bachelor’s degree (or higher), OR equivalent professional work experience
- 5+ years of proven, recent experience successfully providing support as an executive assistant that includes the following:
- Demonstrated flexibility and problem-solving orientation
- Excellent written and verbal communication skills
- Skilled and focused on prioritizing, multitasking, and demonstrating a sense of urgency and respect for deadlines, managing time effectively
- Ability to handle highly confidential information with discretion
- Calendar management
- Meeting coordination
- Managing domestic and international travel arrangements
- Expense reports
- Proven ability to manage multiple tasks and projects with a high level of efficiency and attention to detail, while contributing to strategic goals
- Demonstrated ability to work independently and as part of a team, demonstrating flexibility, adaptability, and strategic thinking
- Strong proficiency in Microsoft Office suite (Outlook, Teams, Excel, Word, PowerPoint)
- Familiarity with project management tools and software
