About The Role

The Executive Assistant to the Chief Executive Officer (CEO) provides high-level, confidential administrative support to the CEO and acts as a trusted partner in managing daily operations and strategic priorities. This role is ideal for a highly organized, proactive, and resourceful individual who thrives in a fast-paced environment and can anticipate needs, manage shifting priorities, and maintain discretion at all times. This hybrid role is based in Boston’s Faneuil Hall Marketplace with the flexibility to work remotely up to 50% of the time.

Main Responsibilities

Executive Support:

  • Manage the CEO’s complex calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare agendas, presentations, reports, and meeting materials.
  • Act as a gatekeeper and primary point of contact between the CEO and internal/external stakeholders.
  • Track deadlines, follow up on action items, and ensure timely execution of tasks.
  • Handle confidential and sensitive information with the utmost discretion.
  • Provide support for personal administrative tasks as needed to enhance executive productivity.

Communication & Coordination

  • Draft and manage high-level correspondence and communications on behalf of the CEO.
  • Coordinate leadership team meetings and company-wide communications.
  • Liaise across departments and with external partners to ensure alignment and clarity.
  • Assist in planning executive meetings, events, and offsites.

Operational & Office Support

  • Support the efficient functioning of the Boston office.
  • Maintain document organization and filing systems.
  • Coordinate with vendors, service providers, and building management when necessary.

Requirements

  • Bachelor’s degree in Business Administration or a related field.
  • Proven experience supporting a C-level executive, preferably a CEO.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and problem-solving abilities.
  • High level of integrity, professionalism, and discretion.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Able to work independently, take initiative, and anticipate needs.
  • Adaptable, flexible, and able to work in a fast-paced environment.
