Hope for the Heart is a non-profit Christian ministry. Our mission is to equip people with biblical principles to renew lives, restore families, revitalize churches and reproduce influencers – worldwide. To accomplish this mission we produce radio broadcasts, Bible-based resources, provide training on peer-to-peer biblical counseling, discipleship and leadership development.


About the Position

Hope for the Heart is seeking an Executive Assistant to perform a variety of administrative and support tasks for ministry executives, primarily two senior-level managers. The Executive Assistant’s responsibilities include organizing calendars, acting as a point of contact for the executives, preparing expense reports, and facilitating the flow of information. To be successful in this role, you should be well-organized, have great time management and project management skills, be able to act without guidance, and have strong technical and computer skills using Microsoft 365 programs, and experience with the project management program Monday.com. Ultimately, this role will contribute to the efficiency of the Hope for the Heart ministry by providing personalized and timely support to executive members.

Responsibilities

  • Manage information flow in a timely and accurate manner
  • Manage executives’ calendars and set up meetings
  • Act as the point of contact among executives, employees, and other external partners
  • Make travel and accommodation arrangements
  • Track expenses and prepare monthly reports
  • Format information for internal and external communication – memos, emails, presentations, reports – primarily using Microsoft 365 programs
  • Take notes during meetings and coordinate follow ups and action items, as needed
  • Screen and direct phone calls and emails and distribute correspondence

Requirements

  • 3 – 5 years of work experience as an Executive Assistant or similar role, preferably supporting multiple executives
  • Excellent technical and computer skills, specifically with Microsoft 365 and Monday.com
  • Team oriented with project directed flexibility
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills and ability to maintain discretion and confidentiality
  • Bi-lingual (English and Spanish), preferred
