The Business Operations Analyst plays a pivotal role in shaping the future success of our business by expertly leading the bid and proposal process with precision and strategic insight. This role ensures that every submission is not only timely and accurate but also highly competitive. Through close collaboration with Inside & Outside Sales, Contracts, and Product Line Managers, the Specialist directly contributes to securing key contracts and expanding our market presence. Additionally, the Specialist is responsible for executing catalog growth opportunities for major contractual accounts, applying a strategic approach to maximizing business potential. The Business Operations Analyst stands at the forefront of driving business growth and ensuring we stay ahead in a competitive landscape.

Responsibilities

  • Receive and review all requests for proposals.
  • Oversee the project management of large bids, quotes, and formal proposals including tracking and managing RFP deadlines. Submit the final response to the customer before the due date and confirm customer's receipt.
  • Coordinate all elements of the bid/RFP process, ensuring that all necessary approvals and information are gathered and that deadlines are met. Complete bid/RFP responses with accuracy and timeliness.
  • Prepare simple to complex business proposal responses to meet/exceed customer requirements to influence the customer of the competitive advantage of corporation's value-added services.
  • Exercise independent judgment in developing proposal methods, techniques, and evaluation criteria for obtaining results to meet/exceed customer requirements in line with Netceed's policies and procedures.
  • Compile and source all materials required in RFP's.
  • Outline specific information required in the RFP for the team to request with pricing such as:
    • Extended quote validity terms
    • Warranty details
    • BABA/BEAD compliance
    • MOQ/UOM
  • Collaborate closely with cross-functional teams, including Sales, Purchasing, Finance, Operations, Engineering, Contracts, and Product Line Management to ensure all information is aligned and the RFP response meets company standards.
  • Lead margin meetings to create internal and customer facing BOM/Quote
  • Review contractual accounts and identify catalog growth opportunities to help expand product offerings and drive revenue.
  • Maintain regular communication with relevant stakeholders to provide updates on bid/RFP progress and ensure alignment across teams.
  • Serve as the point of contact for any questions or clarification requests related to the RFP from the client or customer.
  • Participate in post-bid analysis and assessments to identify areas for improvement in the proposal process. Work with management to create a post submission process to log and track the opportunity.
  • Represent the organization with professionalism, integrity, and a customer-centric approach always.
  • Creative writing daily for unique bid preparation.
Requirements/Key Experiences

  • Excellent verbal and written communication skills; the ability to call, connect, and interact with potential customers in different modes.
  • Exceptional time management and follow-up.
  • Strong understanding of sales operations, bid processes, and strategic pricing.
  • Excellent project management skills to oversee the entire lifecycle of a bid/RFP process.
  • Must be detail oriented and capable of multi-tasking large volumes of work.
  • PC experience in Windows environment required, Advanced Excel knowledge necessary
