This position will handle a wide variety of administrative support along with clerical tasks that support the retail sales operations. The Operations Assistant position involves data collection, entry, and reporting, processing documentation, organizing and maintaining file systems: electronic and physical, composing, typing, and distributing correspondence. This position will demonstrate a wide degree of creativity and latitude in accomplishing all tasks while focusing on delivering “World Class” customer service.

Essential Functions

  • Provide administrative support to the retail sales operations
  • Process letters and correspondence
  • Extensive data entry, analysis and reporting
  • Reconcile invoices
  • Track and verify paperwork, files and correspondence
  • Assist in planning and organization for training, meetings and events
  • Responsible for gathering receipts and preparing expense reports
  • Proof-read material for grammar, spelling and accuracy.
  • Assist with coordinating travel.
  • All other duties as assigned.

Physical Activities Required To Performing Essential Functions

  • Standing, walking, bending, and stretching are required regularly to perform customer care, production, and environmental/safety responsibility functions.
  • Manual dexterity to handle tools and the ability to move 50 pounds are regularly required to perform routine functions.
  • Vision must be sufficient to perform job functions safely as described above.
  • Able to work on feet (stand and walk) for assigned work shift.

Job Conditions

  • Occasional exposure to an outdoor and indoor shop environment with adequate ventilation, Occasional exposure to the outdoor weather conditions. Exposure to moderate noise levels (example: business office environment with computers and printers, light traffic).

Qualifications

  • Effective verbal and written communication skills and strong interpersonal skills.
  • Sufficient typing speed with no errors.
  • Proficiency level or advanced skill with Microsoft Windows (Word, Excel, PowerPoint, Outlook, etc.) environment.
  • Must possess excellent writing and grammar skills required to compose professional letters, memorandums, email and other written communications to all level of the business and to outside business vendors.
  • Detail-oriented with excellent organizational skills.
  • Able to read, understand, and follow written and verbal instructions in English.
  • Perform quality work efficiently with minimal supervision.
  • Able to sit in one place and/or perform work at a computer for two-hour intervals a minimum of eight hours per day.
  • Able to work flexible shifts and schedules, including some overtime.
  • Ability to read, write and speak Spanish a plus but not required.
