We are headquartered in Conroe, Texas and we operate a facility in Livermore, California.

We are looking for a Service Administrative Supervisor for our Conroe, TX location. This position will report to the Director of Service.

Responsibilities

  • Responsible for all internal-external commercial transactions and reporting
  • Creates and maintains quotes, parts sales orders, delivery notes, and jobs for Service including field service, miscellaneous, and shop.
  • Maintains and assembles job documentation in preparation for invoicing.
  • Maintains job planning schedules and coordinates with Service Managers to keep the schedule updated. Coordinates travel and shipping of Technicians and equipment for service calls including personnel from abroad (staff requests).
  • Main point of contact to interface between BEA internal departments and customers supporting active service / shop jobs including German and GEFCO product lines.
  • Keeps customers (internal and external) advised on the status of their repairs, and escalates as required to keep customers and management informed.
  • Ensures that parts are properly ordered on Service sales orders, follows up on back orders and advises appropriate persons.
  • Performs warranty administration functions, creates purchase orders, and processes credit requests.
  • Tracks and reports utilization KPI’s on a monthly basis.
  • Performs various other duties and activities as assigned by the supervisor within the physical constraints of the job.

Requirements

  • Education and Training – High School diploma or as deemed sufficient by management.
  • Technical Requirements – Proficient in Microsoft office and be able to interpret a variety of instructions furnished in written, oral diagrammatic or schedule form. Must be able to multi-task in a fast paced environment and have a high attention to detail with excellent communication skills. Able to deal with several abstract and concrete variables. Willing and able to work extended hours when required to complete projects on time.
  • Experience – 3-5 years of directly related training and/or experience.
  • Must be able to lift up to 50 lbs, stand, sit, kneel, crawl, see, read, hear, have the physical and mental ability to travel independently and the physical and mental ability to comply with customary workshop, office, job site work environments, safety requirements and other customary regulations and requirements in these environments. Must be physically and mentally able to operate heavy machinery, automobiles.
