Description

A project coordinator's role is to ensure a project runs smoothly and is well-organized by managing the project's schedule, budget, issues, and risks. They work closely with project managers, team members and stakeholders to ensure that all projects are completed on time, within budget, and to the satisfaction of all parties involved. This role will be the point of contact for the project team, providing updates, addressing concerns and facilitating communication.

Essential Duties

  • Develop and implement a detailed project plan launch, including timeline, resources and key milestones
  • Create and maintain the SOP of the project's processes, including, workflows and escalation procedures
  • Manage the project queue to ensure all incoming requests are logged, prioritized, and assigned to the appropriate teams
  • Serve as the point of contact for all project participants including key stakeholders and communicate project status
  • Generate and distribute the monthly reports on activities and key metrics such as turnaround times, resolution rates, and recurring issues
  • Ability to lift 30 lbs or as needed


Roles & Responsibilities

  • Create project timelines and team schedules, which may include outlining the scope, assigning team members to roles, and making judgments about how long each task will take
  • Analyze risks and opportunities and work with the project manager to identify and remove roadblocks
  • Be the primary point of contact for customers and vendors, ensuring clear communication and managing expectations
  • Track the progress of each case to ensure timely resolution in accordance with Service Level Agreements (SLA’s) with customers
  • Regularly review the process to identify and escalate any delays or issues within the process, ensuring prompt resolution to maintain customer satisfaction
  • Provide regular project updates to leadership, including highlights, lowlights, blockers and solutions implemented
  • Continuously monitor vendor performance against contract terms and SLAs, and address any non-compliance or performance issues promptly
  • Execute and support training needs of new team members, including continuous training and updates to the processes
  • Provide ongoing support to team members working within the project, addressing any technical or procedure questions
  • Meet with project clients and/or stakeholders to assess their needs and define project requirements, acceptance criteria and project timelines
  • Coordinate the allocation of project resources to ensure the project team has what’s needed at the right time
  • Assign tasks to team members and help them understand what’s expected from them in terms of project milestones and deliverables
  • Foster cross-team collaboration to help project team members complete project tasks and produce deliverables
  • Resolve issues with manufacturer’s internal service teams, requiring verbal and written communication
  • Engage with vendors, customers, and team members with a positive attitude, aligning with the company’s core values
  • Other duties as assigned leadership


Qualifications

  • 2+ years of experience in project management
  • 2+ years experience customer service
  • 1+ years experience coordinating teams and clients
  • 1+ years of proven success in a fast paced work environment, working with all levels of the organization
  • Professional certification such as PMP (Project Management Professional)
