As an Administrative Assistant, you will be responsible for the data collection/entry/maintenance of client leads and opportunities, for providing office support, picking up permits and delivering packages, supporting trade shows and events, and to support ad-hoc requests, one off projects, and the occasional curve ball that requires a reprioritization of planned activities for the day. The demonstrated ability to effectively support a dynamic team, flexibility, and a positive attitude are essential to success.
This Administrative Assistant role is intended to be a temporary, part-time non-exempt (hourly) position, working hybrid between 15-20 hours per week. This position requires working in the office at least once per week within a standard work week of Monday through Friday and is expected to end before January 1, 2026. It requires the use of a personal vehicle to perform various key duties, including transporting materials between company locations or to external vendors and assisting with company events off-site. This role reports to the Director, Business Development and collaborates closely with our Sales and HQ teams.

Key Duties and Responsibilities
- Accurately and efficiently collect, enter, and maintain information in our CRM system
- Effectively communicate with management, employees, clients, and vendors
- Support the office including with scheduling, correspondence, stocking office supplies, and ensuring the organization and cleanliness of common areas
- Manage relationships with office vendors and service providers, ensuring timely delivery of services and products
- Organize and support company gatherings, meetings, and sales events
- Drive a personal vehicle regularly to perform various local administrative and support responsibilities.
Key Requirements
- 1-2 years of relevant experience with data entry and office administration
- Proficiency in Microsoft Office Suite, CRM and vendor platforms, and data entry
- Proven ability to securely handle sensitive financial and client information
- Demonstrated customer service experience
- An energetic and positive "no job is too big or too small" attitude
- Excellent organizational and multi-tasking skills
- Proficiency in English, written and spoken
- Must have a personal vehicle suitable for regular local and regional transport
- Must be able to travel locally occasionally to other locations
- Must be able to lift 25 to 30 pounds without assistance, reach, stretch, bend, and walk including up and down steps
- High School degree or GED
Salary Range: $20-23 per hour pay based upon experience and qualifications
