The Executive Assistant is responsible for managing communication, schedules, and other duties, providing executive level administrative support to the assigned senior leader(s).
In This Role You Will Execute On:
- Providing administrative support including, but not limited to, scheduling meetings, taking minutes/notes, monitoring and managing email, correspondence, expense reporting, and assisting with communications.
- Preparing and organizing in-person meetings and all corresponding details, such as material preparations, catering, venue booking, and equipment.
- Preparing and assisting with all Global Risk Management conference bookings, shipment of materials, and booth coordination.
- Maintaining calendars and appointment schedules, prioritizing sensitive and/or critical matters. Ensuring meeting/appointment preparation materials are readily available.
- Managing travel logistical and activities, including accommodations, transportation, and meals.
- Planning and orchestrating work to ensure that senior executives' priorities are met, organizational goals are achieved, and best practices are upheld.
- Coordinating any and all sponsorship management in the Hylant system.
- Printing and processing of checks for the Global Risk Services team and any associated mailings.
- Organizing team communications and planning in-person, virtual, internal and off-site events as assigned.
- Assisting in the coordination of administrative duties, including billing, invoicing, client follow-up and expense management, to support client management as needed.
- Collaborating and acting as the liaison with new hires with Marketing, IT, HR and other departments or functions as needed.
- Entering and coordinating various software subscriptions and EPIC with various Global Risk team members.
- Collaborating on the development of process improvements, providing input and suggestions on innovative, cutting-edge ideas regarding procedures for the team. Maintaining associated documentation as required.
- Performing other duties and special projects as requested.
- Bachelor's Degree plus 5+ years' experience in a fast-paced, administrative support role, or equivalent combination of education and experience.
- Strong administrative skills, proficient with Microsoft Office Suite.
- Excellent verbal and written communication skills.
- High degree of professionalism, confidentiality, and discretion.
- Ability to travel up to 10% of the time.
