Job Responsibilities:
- Provide administrative support to SVP, Post Production, managing their calendar, scheduling meetings, screenings, prioritizing incoming meeting requests, mail and any formal communication and coordinating other key events.
- Coordinate international and domestic travel for SVP and additional department personnel and filmmakers as required
- Prepare, submit, and track expense reports for SVP and other team members as required.
- Positively and professionally represent SVP with crew, executives, and external partners.
- Attend some staff and creative meetings, document agenda items, and take notes.
- Assist with general office tasks, including ordering and maintaining office supplies and food stocks for department
- Read incoming scripts and assist with budget and clearances breakdown.
- Develop and maintain a thorough familiarity with all projects occurring within the department.
- Create and schedule conference calls with production and studio personnel through various stages of production.
- Create and maintain show calendars and departmental schedules.
- Update executive reports and tracking systems on a weekly basis.
- Generate cost comparisons and estimates for post needs such as housing, flights, editorial and vendor costs.
- Maintain shared database of key Post Production Personnel and Vendors.
- Develop potential editors’ lists for shows in pre-production
- Onboard and act as the day-to-day liaison/first point of contact for Editorial and Post on all shows.
- Set up editorial teams with application accounts and monitor access for the duration of the show.
- Work with production crew to arrange shipments for editorial in distant locations.
- Create and manage purchase orders, invoices and other financial needs
- Schedule, organize, set up executive and preview screenings (booking security, projection engineering, entering into our global screening system, etc.).
- Work with Publicity and Marketing Depts for GSS and Debut requests, approvals.
- Help manage bookings for the Ink and Paint Basement screening room and generate monthly cost breakdowns with appropriate coding for Finance Team.
- Assist with delivery of features including QC and approving masters as required.
- Participate in department development activities and informational workshops.
- Assist in other Post Production related activities, as required.
- Proactively anticipate and identify needs and concerns and address them.
- Meet and greet guests, order all catering for meetings, and arrange all offsite lunches and dinner meetings
- Fosters a positive work environment.
- Minimum 2+ years solid working knowledge of post-production operations.
- Familiarity with physical production or previous Studio production experience helpful.
- Familiarity with post budgets and costs as well as post calendars and applications.
- Strong organizational skills, ability to multi-task and organize multiple projects, with excellent follow through.
- Strong communication skills, with an ability to interface with 3rd party vendors, internal executives and staff in a collaborative and problem-solving fashion.
- A strong customer service orientation with ability to anticipate and resolve routine questions or issues while still keeping senior executive aware of project status.
- Knowledge of purchase orders and expense reports.
- Bachelor’s degree preferred.
