Overview

The Executive Assistant provides high-level administrative and strategic support to executive members. This role requires discretion, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be proactive, resourceful, and detail-oriented, with a strong sense of confidentiality and professionalism.

The Executive Assistant will act as a liaison between the President and internal and external stakeholders, coordinate executive-level communications, manage schedules and travel, and support the execution of high-impact initiatives and company-wide priorities.

Responsibilities

  • Provide high-level administrative support to executive leadership, including calendar management, meeting coordination, travel planning, and communications.
  • Prepare and edit correspondence, presentations, reports, and briefing materials for internal and external meetings.
  • Track key projects, initiatives, and deadlines; support strategic planning and ensure timely updates to the President.
  • Conduct research and compile data to assist with business development and executive decision-making.
  • Coordinate logistics for board meetings, leadership sessions, and executive events.
  • Serve as a primary point of contact for the President’s office, fostering strong relationships with staff, clients, and partners.
  • Manage expense reports, vendor invoices, and confidential records in alignment with company policies.
  • Support overall office operations and provide backup assistance to other administrative staff as needed.
  • Perform other related duties as assigned to support departmental and organizational goals. Duties, responsibilities, and activities may change at any time with or without notice.

Required Qualifications

  • Minimum 5+ years of executive-level administration support experience, preferably in construction, engineering, or related industries.
  • Experience working with C-suite or executive leadership required.

Desired Qualifications

  • Associate or bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Strong written and verbal communication skills.
  • Exceptional organizational skills and attention to detail.
  • High level of discretion and ability to handle sensitive information.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and video conferencing tools (Zoom, Teams).
  • Ability to multitask, prioritize workload, and adapt to changing priorities.
  • Confident, professional demeanor and sound judgment.

Working Conditions

  • This role is based in an office setting with occasional travel or off-site meeting support required.
  • Must be able to sit or stand for extended periods and use standard office equipment.
  • This is an exempt position, requiring a commitment of 40+ hours per week, with flexibility for extended hours and alternative shifts depending on the executive’s needs

Compensation Range

$80,000 - $95,000
