Wood Rodgers, a leading engineering consulting firm, is hiring an administrative assistant. In this role, you will handle a range of tasks with varying priorities, requiring attention to detail and the ability to meet deadlines. This position works within an administrative team and is needed to step in where needed for overall team success.
This is an hourly, non-exempt position scheduled for 30 hours per week.
A day in the life as a Wood Rodgers’ Administrative Assistant
- Welcoming visitors, clients, vendors with courtesy and a high level of professionalism.
- Managing all courier, overnight, and standard mail deliveries.
- Monitoring conference room schedules and assisting with meeting setups, including video conferencing arrangements and post-meeting cleanup.
- Coordinating lunch and dinner orders for meetings as necessary.
- Monitoring and replenishing office supplies, including weekly grocery orders.
- Coordinating travel arrangements for staff, including flights, hotels, car rentals and conference registrations.
- Assisting the office manager and project managers with typing assignments and other administrative tasks using MS Word, Excel, Adobe, and Outlook.
- Providing backup support for other administrative staff, including the Sacramento receptionist, when needed.
- Performing document scanning, printing, copying, collating, assembling, and binding for client submissions and other purposes.
- Delivering project-related documents to designated locations.
- Maintaining organized and up-to-date filing systems, including logging documents into a database.
- Supporting supervisors with various administrative requests as needed.
- 1 to 3 years of experience supporting staff with document preparation tasks, including scanning, printing, copying, collating, assembling, and binding.
- Some college-level coursework preferred.
- Familiarity with travel booking platforms such as airline websites, Hotels.com, and car rental sites.
- A valid California driver's license.
- Advanced knowledge of MS Word.
- Proficient in WordPerfect, Excel, PowerPoint, and Adobe Acrobat.
- Strong knowledge of office equipment, such as copiers, printers, binding/laminating machines, and fax machines.
- Excellent communication skills with the ability to effectively interact with others.
- Ability to handle multiple tasks simultaneously while maintaining quality work.
- Highly professional, organized, and approachable, with the capability to work independently or collaboratively.
- Skilled at prioritizing tasks to meet deadlines efficiently.
- Capable of taking direction from all levels of management in a professional manner.

Offers will be based on several factors, including experience, education, skills, licensure, certifications, training, and location. Base pay is just one part of the comprehensive compensation package offered by Wood Rodgers.
