PURPOSE:
The Executive Assistant II serves as a trusted partner to the Chief Digital Information Officer (CDIO), providing high-level, high-quality administrative and organizational support across a broad range of responsibilities. This role requires exceptional judgement, discretion, and interpersonal skills to effectively manage competing priorities, solve problems, and build strong relationships across the organization particularly with the CDIO, Division Advisor, and key leaders in the IT Organization. Operating with minimal supervision, the Executive Assistant II plays a critical role in supporting the success of the CDIO, IT Organization, and the enterprise.
Essential Functions
Education Level: High School Diploma or GED
Experience: 7 years' experience supporting executive level management.

This role requires exceptional judgement, discretion, and interpersonal skills to effectively manage competing priorities, solve problems, and build strong relationships across the organization particularly with the CDIO, Division Advisor, and key leaders in the IT Organization. Operating with minimal supervision, the Executive Assistant II plays a critical role in supporting the success of the CDIO, IT Organization, and the enterprise.
Essential Functions
- Managing the CDIOs calendar, including scheduling internal and external meetings, conference calls, travel, and events. Ensure all logistics are coordinated seamlessly
- Partner with the CDIO and their Division Advisor to ensure the CDIO is prepared in advance of meetings, including the coordination of meeting materials, agendas, executive-level presentations, and reports to support strategic decision making
- Establish and maintain a project tracking system to help the CDIO prioritize initiatives and meet critical deadlines and deliverables
- Partner with the Division Advisor to monitor follow-up tasks by tracking action items and coordinating with staff to ensure timely completion
- Serve as a communication liaison between the CDIO and internal stakeholders, fostering effective information flow with executive staff and their executive assistants, and facilitating clear, timely, and respectful communication across all levels of the organization
- Attend key meetings, record detailed notes and action items, and distribute relevant materials to stakeholders as needed
- Support the planning and execution of offsite meetings and conferences, including managing logistics, catering, and travel coordination
- Interface professionally with board members, senior leaders, business partners, and visitors, serving as the CDIOs primary point of contact and coordinating with executives across multiple locations
- Review, prioritize, and route all incoming communication and correspondence, ensuring prompt and efficient handling of inquiries
- Manage and submit accurate and timely expense reports, including maintaining necessary documentation and reconciliation for reimbursements
- Maintain an organized system for electronic files, ensuring documentation is easily retrievable and accessible for sharing
- Operate independently and exercise sound judgement with minimal supervision
- Lead or contribute to special projects as assigned, ensuring timely and high-quality execution
- Operate effectively in a remote and hybrid work environment, leveraging digital communication tools to foster connection, build relationship, and ensure alignment across geographically dispersed teams
- Provide on-site support as needed to facilitate meetings, leadership gatherings, company events, ensuring smooth execution and attention to detail in every aspect of planning and delivery
- Develop tools and implement processes to enable the CDIO to stay on track with key initiatives, remain informed, and be fully prepared for all engagements
- Perform general administrative duties such as ordering supplies, supporting business-related financial recordkeeping, and providing adhoc support as needed
Education Level: High School Diploma or GED
Experience: 7 years' experience supporting executive level management.
Knowledge, Skills And Abilities (KSAs)
- Adept at learning new technologies to perform data entry, manage calendars, and create reports.
- Proficient in Microsoft Office applications.
- Strong time-management and organizational skills.
- Excellent communication skills both written and verbal.
- SharePoint management.
- Hybrid Event Management and Coordination.
- Attention to detail.
- Must be able to meet established deadlines and handle multiple customer service demands from internal and external customers, within set expectations for service excellence. Must be able to effectively communicate and provide positive customer service to every internal and external customer, including customers who may be demanding or otherwise challenging.
