Job Summary
Vinik Sports Group and the Tampa Bay Lightning are seeking a detail-oriented, proactive, and collaborative Recruiting Coordinator to support the full lifecycle of talent acquisition and onboarding processes. This role will play a key part in recruiting efforts for both part-time and full-time staff, ensuring a seamless and world-class candidate and new hire experience.
Essential Duties & Responsibilities
Recruiting
- Create and manage job requisitions in Workday, ensuring accuracy and consistency.
- Conduct prescreening of candidates to assess qualifications and alignment with role requirements.
- Collaborate with department managers on a regular basis to identify hiring needs, in addition to sourcing candidates in high volumes using various tools, including job boards, social media networks, and employee referrals
- Draft and send offer letters, initiate background checks, and monitor results for compliance
- Coordinate logistics for hiring events, including communication, materials, and set-up support
- Manage candidate travel arrangements for interviews, as needed
Onboarding
- Coordinate onboarding logistics, including scheduling New Employee Orientation and required guest services training
- Manage the completion of new hire paperwork in Workday, ensuring accuracy and consistency
- Monitor I-9 documentation compliance and send timely reminders for onboarding task completion
- Prepare new hire credentials, including headshots, badges, and name tags
- Coordinate onboarding logistics for full time employees, including desk setup, welcome gifts, and ID badges.
- Maintain and track onboarding checklists to ensure all required steps are completed prior to the employee’s start date
- Assist with internal communication to ensure departments are prepared for new hire arrivals
Administrative Support
- Assist with HR audits, document tracking, and maintenance of compliance-related records.
- Provide support for the Vinik Sports & Entertainment Management Fellowship Program
- Create and maintain internal trackers to support recruiting, onboarding, and program initiatives.
- Contribute to special projects and initiatives as needed to support the People Operations team
Game/Event Responsibilities
- Game/Event Night responsibilities: Yes
- Approximate number of games/events worked per year: 10
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- 1–2 years of experience in recruiting, HR coordination, or a similar administrative role.
- Familiarity with HRIS and applicant tracking systems; experience with Workday strongly preferred.
- Exceptional attention to detail and ability to manage multiple tasks simultaneously.
- Strong written and verbal communication skills.
- Advanced knowledge of Microsoft Office (Outlook, Excel, PowerPoint, and Word)
- Results oriented and strong customer service skills
- Ability to handle and prioritize multiple projects simultaneously
- Ability to work collaboratively with others
- Ability to build credibility and establish trust among coworkers and management
- Ability to handle sensitive and confidential information with discretion.

Working Conditions
- Ability to work efficiently and effectively in office and arena environment that can be exciting, loud and distracting
- This is an onsite role; flexibility to work a minority of time remotely.
- Ability to work extended hours including late nights, holidays, and weekends as needed
- Ability to lift/carry/move up to 15lbs
- Ability to work in cold/hot indoor and outdoor temperatures
- Ability to commute to various venues throughout the Greater Tampa Bay Area
- Ability to work in areas that can become crowded with equipment and/or people
