The Health Information Supervisor assists the Health Information Manager in overseeing the Health Information Department and supporting staff. This role is responsible for coordinating day-to-day operations, supporting compliance initiatives, and promoting quality documentation and secure access to health information. The Supervisor ensures timely and accurate workflows and serves as a key liaison between staff, providers, and the manager.
This is a hybrid role. Schedule: M-F 8am-5pm(1 hour lunch)

Salary range: $73,500-$104,400 annually, depending on experience.
Compensation Disclosure: The posted salary range reflects the designated pay grade for this position. While this range represents the broader classification of the role, actual compensation will be based on several factors, including but not limited to: the candidate’s overall knowledge, skills, and experience, market data and industry benchmarks, internal equity within the organization, Budgetary considerations and organizational needs. As a result, placement within the range is not guaranteed, and the full pay grade range may not be utilized.

Responsibilities
Direct Patient Care Support
- Supports quality patient care by helping ensure the accuracy, completeness, and availability of health records.
- Assists in providing timely access to patient health information to promote continuity of care.
- Maintains the confidentiality and professionalism of sensitive patient information.
- Upholds HIPAA compliance and patient privacy rights.
- Responds to patient requests for medical records, coordinating release of information in accordance with organizational policies.
- Collaborates with providers and clinical staff to support accurate and timely documentation in the Electronic Health Record (EHR).
- Acts as a resource for documentation standards and assists in resolving EHR-related issues.
- Supports training efforts for staff on documentation workflows and system use.
- Helps identify and address documentation or information access challenges.
- Works closely with the manager and compliance teams during audits or improvement initiatives.
- Coordinates daily operations of the Health Information Department, ensuring smooth workflow and consistent record access.
- Assists in staff supervision, coaching, and informal performance feedback.
- Helps create staff schedules and ensure adequate coverage across locations.
- Supports onboarding and ongoing training of health information staff.
- Maintains adherence to departmental policies, procedures, and record retention standards.
- Participates in internal audits and reports findings to the Health Information Manager.
- Helps coordinate with other departments (e.g., billing, quality) for documentation and data accuracy.
- Assists in monitoring department productivity and preparing related reports.
- Coordinates with external vendors for the release of information services.
- Supports secure storage and appropriate destruction of physical and electronic records.
- Attends meetings and supports leadership with department updates or site audits.
- Completes other duties as assigned to support compliance and documentation quality.
- Follows safety protocols, including infection control, fire safety, and body mechanics.
- Maintains the privacy of all patients, employees, and volunteers by accessing information on a need-to-know basis only.
- Reports unethical or unlawful behavior per organizational policy.
- Supports the Privacy Officer and Health Information Manager in compliance initiatives.
- Assists in implementing privacy policies, procedures, and training activities.
- Helps coordinate audits and respond to privacy-related incidents as directed.
- Participates in privacy training and supports staff education efforts.
- Monitors departmental adherence to data-sharing protocols and privacy best practices.
- Follows all safety procedures by Neighborhood Healthcare’s Illness and Injury Prevention Plan (IIPP).
- Maintains up-to-date knowledge of organizational policies and reports unsafe conditions.
Education/Experience
- High school/GED required
- Minimum 2 years of receptionist or health information experience required
- Six months of supervisory experience in a health center setting preferred
- LEAP Graduate preferred
- Strong understanding of HIPAA, HITECH, and state privacy regulations.
- Experience in medical records or health information systems preferred.
- Familiarity with EHR systems and clinical documentation workflows.
- Ability to coordinate and support a team in a fast-paced healthcare environment.
- Effective communicator and collaborator with strong problem-solving skills.
- Organized, detail-oriented, and capable of managing multiple tasks and deadlines.
- Proficient in Microsoft Office Suite; able to create and interpret reports.
- Demonstrated professionalism when handling confidential information.
- Willingness to learn and support departmental improvements and compliance goals.
- Ability to lift/carry 20 lbs/weight
- Ability to stand for long periods of time
