Job Summary
The Benefits Specialist leads the day-to-day administration of our employee benefits programs and leave of absence processes (including FMLA). This role plays a key part in creating a best-in-class employee experience by ensuring our benefits are accurate, accessible, and well-communicated. You’ll be the primary point of contact for all benefits-related inquiries, responsible for benefits billing reconciliation, compliance, vendor management, and supporting strategic benefits initiatives. This is a hands-on role for someone who thrives in the details but also enjoys building systems and improving processes. Familiarity with Rippling and/or Paylocity is highly preferred.

Key Responsibilities
- Benefits Administration
- Administer all benefit plans (medical, dental, vision, life, disability, FSA/HSA, etc.) including enrollments, terminations, and life events
- Support employees throughout the benefits lifecycle, providing timely, clear, and empathetic guidance on all benefit-related matters
- Ensure benefit information is accurate in HRIS and employee portals; manage regular audits for compliance and accuracy
- Leave of Absence (LOA) & FMLA
- Own and manage the end-to-end process for leaves of absence, including FMLA, parental leave, and personal leave
- Serve as a trusted advisor to employees and supervisors/managers during leave, ensuring legal compliance and a seamless experience
- Billing & Reconciliation
- Complete monthly reconciliation of benefits invoices, ensuring accuracy and alignment with payroll deductions
- Resolve discrepancies with carriers and vendors promptly
- Compliance & Documentation
- Ensure compliance with all applicable regulations (ACA, ERISA, HIPAA, COBRA, FMLA, etc.)
- Support preparation of required filings and audits; maintain accurate benefit records and documentation
- Complete and respond to agency notices promptly
- Vendor & Broker Management
- Act as the day-to-day liaison with benefits brokers and carriers
- Collaborate with vendors to resolve issues, implement changes, and support annual renewals
- Communications & Process Improvement
- Support and lead benefits communications, including open enrollment materials, FAQs, and onboarding guides
- Collaborate with HR leadership on new benefit offerings and process improvements
- Maintain and enhance the benefits section of the employee portal with clear, up-to-date resources
- HR Support
- Partner with payroll and HRBP teams to ensure seamless operations and data accuracy
- Provide backup support to HR Business Partners and contribute to broader HR initiatives as needed
- 5+ years of progressive experience in employee benefits administration
- Bachelor's degree in HR, Business, or related field preferred; equivalent experience considered
- Experience managing FMLA and other LOA processes
- Strong knowledge of benefits compliance regulations (ACA, COBRA, HIPAA, etc.)
- Advanced Excel skills required (e.g., VLOOKUP, pivot tables)
- HRIS experience required, Rippling and/or Paylocity highly preferred
- Experience working in a fast-paced, high-volume environment
- Deep subject matter expertise in employee benefits and leave administration
- Exceptional attention to detail and accuracy, particularly in data and billing
- Strong interpersonal and communication skills - able to support employees with empathy and clarity
- Analytical thinker with a problem-solving mindset
- Comfortable handling confidential information with discretion and integrity
- Proactive, resourceful, and eager to improve systems and processes
- Able to manage multiple priorities while maintaining deadlines and service quality
- A collaborative team player with a service-first approach
