ABOUT THE POSITION

The Numi Marketing & Operations Coordinator is a friendly, energetic, eager and organized individual who supports both brand marketing initiatives and daily company operations at our mission-driven tea company. This hybrid role blends marketing coordination with light executive support and office management. The ideal candidate is organized, creative, adaptable, curious—and excited to work in a growing CPG brand where no two days are the same.

This person is an ambassador of the Numi Brand as they are the point-person for inquiries and comments via emails, online posts, phone calls, and snail mail, providing excellent, precise and friendly customer service. This position also handles administrative & research tasks to support the sales and marketing departments, including but not limited to coordinating and assisting at tradeshows and conducting online surveys to support Marketing efforts.

Additionally, this role will take on some office management and executive assistance, to include, but not limited to maintaining an orderly office, ordering staff lunches, booking travel and preparing expense reports.

This role is in-person at Numi’s Oakland, CA headquarters 2 days/wk.

ABOUT YOU

  • 3-4 Years of Similar Experience in a marketing capacity and office environment.
  • Highly detail-oriented.
  • Curious, self-starter, passionate about the tea, as well as the food & beverage industry.
  • Strong interpersonal skills, thrives in team environments.
  • Excellent written and verbal communication skills.
  • Ability to effectively and professionally present information and respond to questions from groups of customers, managers, employees, vendors and the general public with a knowledgeable, respectful and solutions-oriented approach.
  • Works well under pressure and able to juggle multiple projects and priorities.
  • High level of proficiency with Microsoft Office – including but not limited to Outlook, Excel, Word and Power Point.
  • Natural foods experience/ interest desirable.
  • High School & College degree


RESPONSIBILITIES

Sales & Marketing Support

  • Assist and develop social organic posts, UGC and other assets that drive consumer traffic.
  • Aid in producing social ads, as needed, for high converting performance marketing campaigns.
  • Foster & expand the NUMI tea community, through social responses in brand posts, FB groups, and influencer campaigns.
  • Help build a highly impactful affiliate creator network that drives significant revenue for the brand.
  • Conduct routine online consumer surveys to understand Numi’s demographic & purchasing patterns.
  • Coordinate all paperwork for tradeshow sign-ups, utilities, samples & marketing programs. Arrange travel bookings as needed. Attend 3 tradeshows/year. Assist with set-up, tear-down & making of teas at the show. Maintain clean and organized booth.
  • Coordinate sample requests for buyers, brokers, press editors, influencers, partners, events and more.
  • Coordinate new sampling & donation programs to expand trial of Numi brand – events, in-kind sponsorships…
  • Fill out new item and vendor paperwork for sales team as needed.
  • Assist sales team with various retail & foodservice support programs.


Customer Service

  • Provide outstanding customer service by fielding inbound email and phone inquiries with precision and friendliness.
  • Up-sell customer responses w/ affiliate program, promotions & product updates when applicable.
  • Work with any outside partners and agencies including Amazon, customer service & fulfillment partners to assist with product or brand inquiries.
  • Manage Numi’s Yotpo customer reviews program & share out with appropriate team members.


Operations Assistance

  • Support Founders by arranging travel and scheduling meetings.
  • Assist with expense reports for all willing executives and manage filing for Founders.
  • Assist with Quarterly Board meetings, creating board books, setting up conference room and ordering food.
  • Coordinate events and meetings including quarterly company lunch, holiday party, and company retreat.
  • Schedule new hire orientations.
  • Pick up Numi snail mail from PO box 2 times per week. Distribute to appropriate parties.
  • Maintain clean and orderly office space, including common areas, displays, conference rooms and kitchen.
  • Manage inventory of tea samples, office supplies & janitorial supplies, ensuring green & zero waste practices.
  • Manage facilities including communications with property manager, cleaners and contractors for repairs.
  • Coordinate & order office lunches when teams are in the office.


PHYSICAL REQUIREMENTS

  • Extensive keying and use of phone.
  • Occasional lifting of up to 30 pounds.

Base salary range: $65,000 - $75,000.
