PROGRAM COORDINATOR

Reports to: Shareholder Records Manager

Status: Regular, Full-time, Non-Exempt

Location: Anchorage, AK

JOB SUMMARY: The Program Coordinator is responsible for supporting a variety of programs and initiatives across Aleut. This role ensures effective coordination, organization, and communication to help programs run smoothly and achieve their goals. The position requires an individual who is detail-oriented, flexible, and capable of maintaining efficiency while coordinating various functions and priorities.

Primary Responsibilities

  • Champion Aleut Values: accountability, transparency, and rigor.
  • Provide exceptional administrative and program support with a focus on efficiency, accuracy, and professionalism.
  • Process requests ensuring they meet established guidelines and are handled in a timely manner.
  • Maintain accurate records and verify eligibility or program participation as needed.
  • Utilize data management systems to update information, support reporting, and ensure data integrity.
  • Coordinate logistics for outreach activities, including scheduling, travel planning, and inventory tracking.
  • Draft and distribute clear, timely communications to participants, stakeholders, and other audiences.
  • Organize and maintain both physical and digital files to support compliance and easy access to information.
  • Plan and execute events and meetings, ensuring all logistical and operational details are managed effectively.
  • Support recognition and nomination processes by coordinating materials, tracking submissions, and ensuring thorough documentation.
  • Collaborate with internal teams to understand program needs and contribute to successful implementation.
  • Perform other duties as assigned.

PROGRAM COORDINATOR ADDENDUM

SHAREHOLDER SHARED SERVICES

Additional Responsibilities

  • Provide exceptional program support for Shareholder Records, Relations, and the Ulakaia Center programs with a focus on efficiency, transparency and professionalism.
  • Process burial assistance applications, ensuring compliance and timely resolution.
  • Manage descendant registrations by verifying eligibility and maintaining accurate records.
  • Proficient user of the Shareholder Records System (Granite), facilitating updates, distribution preparations, and data accuracy.
  • Coordinate logistics for regional outreach efforts, including travel arrangements and inventory management.
  • Prepare and distribute clear and timely communications to shareholders and program recipients.
  • Maintain organized physical and digital document systems to ensure compliance and ease of access.
  • Lead planning and execution of major events, such as the Annual Aleut Picnic and shareholder meetings.
  • Support nomination processes for Shareholder and Student of the Year awards with meticulous coordination and documentation.
  • Collaborate with cross-functional teams to define and support program requirements effectively.

  • Strong written and verbal communication skills for effectively engaging with a variety of audiences and stakeholders.
  • Ability to review, interpret, and analyze documentation with accuracy and ensure alignment with established criteria or guidelines.
  • Knowledge of logistical coordination, including planning, scheduling, and resource management.
  • Experience in strategic planning and successful execution of projects, including events or initiatives.
  • Demonstrated ability to adapt to changing priorities while maintaining accuracy and quality.
  • Proficiency in organizing and maintaining both physical and digital records and documentation systems.
  • Excellent analytical thinking and problem-solving capabilities.
  • Experience handling sensitive and confidential information with discretion and professionalism.
  • Strong interpersonal and teamwork skills with a commitment to providing excellent service.
  • High attention to detail and dedication to producing high-quality work.
  • Ability to manage multiple tasks and projects independently while meeting deadlines.

Minimum Qualifications

  • Bachelor's degree in business administration or related field; OR equivalent combination of experience, education, and training.
  • Two (2) years’ experience working in related field.
  • Must possess and maintain a current Alaska driver’s license.
