Vanguard Skin Specialists is a dermatology and plastic surgery practice serving communities in southern Colorado. Our HR team is a key part of our success, and we seek an outstanding HR Coordinator who will help create a great work environment. This role is essential in fostering a positive, mission-aligned workplace culture and ensuring smooth HR operations.
Duties And Responsibilities
The HR Coordinator will help support HR functions.
Specific Responsibilities Include The Following
Culture & Engagement: Work actively to infuse Vanguard’s mission and values across the team by reinforcing and encouraging processes, interactions, events, and rewards that further the organizational culture. This includes the following:
Vanguard Skin Specialists believes in providing regular feedback and encouraging professional development. Your first check-in with HR will be approximately 90 days from your date of hire. Written annual reviews take place each fall. For individuals with less than 6 months of tenure by fall review but greater than 6 months tenure at spring review, then the initial review will take place in the spring review. Practice promotes from within, which provides opportunities for growth and advancement.
Schedule
Starting compensation for this role is $21.00-$25.00 per hour (based on experience) with eligibility for overtime and paid time off. The practice covers a portion of the premium for medical benefits and offers vision, dental, and 401K. The position also comes with Paid Time Off, Graduate School Stipend, bereavement pay, Paid Maternity & Bonding Leave, Employee Discounts on products and aesthetic services.
Physical Working Conditions
Offers of employment will be contingent on successful pre-employment screening for this position. The screenings will include background checks, drug screens, employment and education or licensure/certification verification, and/or governmental registry checks. All offers are contingent upon successful completion of required screening.

Duties And Responsibilities
The HR Coordinator will help support HR functions.
Specific Responsibilities Include The Following

- Helping to organize Vanguard events which reinforce culture.
- Being present in the “life of Vanguard” such as staff celebrations, community service events, etc.
- Handling our systems that enable team engagement.
- Employee files: Ensure files remain up to date and compliant. Provide access to files in accordance with policies.
- Employee benefits and related systems: Manage benefit enrollment and administration of benefits including medical, vision, dental, PTO, Workers Compensation, FMLA, FAMLI.
- Assist OSHA officer to handle any workman’s compensation claims and related processes.
- Policies & procedures: Stay up to date on and help enforce practice personnel policies and adherence to policies. Evaluate and recommend updates as needed to policies and procedures to supervisor. Keep all notices, forms, and manuals current across offices. Ensure files remain up to date and compliant.
- Payroll: Support the Finance team with HR payroll functions such as updating team member files and adding notes to payroll documents as needed.
- Reporting: Generate HR reports to assist with HR functions and other requested deliverables.
- Recruiting: Assist Recruiter with logistics, screening, and scheduling of candidates as needed. Prepare recruiting materials. Organize and attend recruitment events as needed.
- Onboarding: Run background checks and ensure files are complete prior to orientation including I-9s as needed. Meet all new hires to review HR policies, procedures, and benefits in person. Secure all necessary paperwork and upload it to each system. Assign and track required training as needed. Assist with monthly and quarterly orientation days.
- Assist with administrative functions at headquarters office, including mail sorting or event coordination.
- Coordinate recognition gifts for team member milestones such as work anniversaries, weddings, and new family additions.
- Track HR Compliance items on HR Dashboard and reach out to team members as needed or escalate to an appropriate manager.
- Duties may include other general HR responsibilities, particularly as the HR Coordinator develops in the role.
- Bachelor’s degree or equivalent experience
- Impeccable attention to detail with a high degree of accuracy
- Proven history of working well on teams and delivering excellence
- Excellent verbal and written skills required; strong interpersonal skills and a collaborative mindset
- Knowledge of PowerPoint, Excel, Word, and ability to learn new programs
- Ability to manage sensitive information with discretion and professionalism

- HR degree, certification, or experience
- Customer service experience and/or supervisory experience a plus

Schedule
- Hours: Full-time of 40 hours per week. However, there are weeks that will require more hours, e.g., a review cycle, annual meeting, orientation, special employee events, etc.
- Location: Primarily based in the HQ office located at 12320 Oracle Blvd. Travel to each full-time office at least every quarter and occasionally more. May be more frequent if need arises, e.g., training, team member onboarding, meetings, etc. This is not a remote or hybrid position.

Physical Working Conditions
- Must be able to remain in a stationary position up to 90%
- The other 10% occasionally move about inside the office to access file cabinets, office printers, etc.
- Must be able to travel independently to other locations for meetings and to transport company materials
- Regularly required to walk and carry items weighing between 10-25#
- Occasionally required to lift and carry items weighing up to 50#
- May need to push or pull carts containing company materials
- Operate a computer and other office machinery, such as a calculator, printer, copier, scanner, or fax.
- Be able to communicate accurately, effectively, and frequently
- Can identify color on the computer and software used
- Type at least 50 wpm
