Position Overview

An Onboarding Coordinator is responsible for facilitating the new employee onboarding experience, ensuring a smooth transition for new hires by coordinating all aspects of their initial introduction to the company, including necessary paperwork, orientation sessions, team introductions, system access, and training, while maintaining compliance with company policies and legal requirements. This position is the primary point of contact for new employees during their onboarding process.

Job Responsibilities

  • Develop and implement a structured onboarding plan, including scheduling orientation sessions, assigning mentors, and coordinating with different departments to ensure a comprehensive experience
  • Manage the completion of necessary employment paperwork, including background checks and pre-employment drug testing, tax forms, and I-9 verification, and facilitate access to company systems like email, intranet, and employee portals
  • Schedule and sometimes conduct new employee orientation, covering company culture, values, policies, benefits, and safety procedures
  • Introduce new hires to their team members, managers, and key stakeholders
  • Schedule and coordinate required training sessions, including job-specific training, compliance training, and software tutorials
  • Gather feedback from new hires to identify areas for improvement in the onboarding process and make necessary adjustments
  • Act as the primary point of contact for new hires, addressing questions and concerns throughout the onboarding period
  • Ensure all onboarding activities adhere to relevant employment laws and company policies
  • Monitor onboarding progress, track key metrics, and provide reports to HR leadership

  • Actively engage in ongoing training and development through FirstCall Academy to stay current with the industry’s best practices and standards
  • Consistently provide a high level of service and support to new hires, reflecting FirstCall’s commitment to excellence and customer satisfaction
  • Contributes to a positive, professional, and compliant onboarding experience that reinforces FirstCall’s culture, values, and reputation as a leading provider of HVAC

ORGANIZATIONAL ALIGNMENT

This position reports directly to the Recruiting Manager.

Qualifications

QUALIFICATIONS

  • 3+ years of experience in onboarding, recruiting, or a related HR role
  • Ability to work in the Austin office, on a hybrid schedule (2 days per week at-home)
  • Experience with PayCom or other applicant tracking/onboarding systems preferred
  • Strong communication and interpersonal skills to build relationships with new hires and internal teams
  • Excellent organizational and time management skills, with the ability to manage multiple priorities
  • High attention to detail, ensuring accurate and compliant documentation
  • Flexible and adaptable in a fast-paced, evolving environment
  • Solid understanding of HR practices, employment law, and onboarding compliance requirements
  • Proficiency with HR systems and related technology tools

BEHAVIORAL PROFILE

Language Skills

Ability to read, understand, and apply written instructions, emails, and business correspondence. Strong written communication skills are essential for drafting professional emails, reports, and internal documents. The role requires the ability to clearly present information in one-on-one and small group settings with employees, customers, and vendors.

Mathematical Skills

Proficiency in basic arithmetic operations including addition, subtraction, multiplication, and division. Comfortable working with percentages, ratios, and basic financial calculations. Familiarity with spreadsheets and data entry is necessary for tracking expenses, reports, and various administrative tasks.

Reasoning Ability

Strong problem-solving skills with the ability to follow written, verbal, or visual instructions accurately. Ability to prioritize multiple tasks, meet deadlines, and adapt to shifting priorities. Attention to detail and sound judgment are critical, particularly when handling confidential information.

Physical Demands

While performing the duties of this role, the employee is regularly required to sit, use hands for typing and other office-related tasks, and communicate clearly. The employee may occasionally need to stand, walk, or lift office materials weighing up to 25 pounds. Vision requirements include close vision for computer work and the ability to adjust focus as needed.
