Reporting to the Financial Aid Officer Team Lead, we are seeking a detail-oriented and knowledgeable Virtual Financial Aid Officer to support schools without an on-site financial aid presence. You will provide clear guidance on processes, assist with applications, and ensure students and families have timely access to accurate information. You will process and verify federal student aid eligibility, respond promptly to inquiries, and resolve issues with professionalism and care.
This is a remote-first role from anywhere in the US, with working hours aligning with the Eastern Standard Time zone.

How You Will Make An Impact
- Service delivery and communication. You will provide exceptional customer service to schools, students, and families by promptly responding to inquiries and resolving issues. You will conduct financial counselling to explain aid estimates and offers, ensuring all stakeholders are informed throughout the process. You will communicate by email, phone, and virtual meetings, tailoring your approach to the preferences of each client and assigned school. You will independently manage relationships with schools, maintaining consistent support and responsiveness.
- Regulatory compliance and eligibility. You will determine student eligibility requirements, application procedures, and deadlines in accordance with federal and state guidelines. You will ensure that appropriate documentation is requested, reviewed, and retained to support compliance. You will complete verification, process ISIR corrections, conduct C-Code reviews, and apply professional judgment where appropriate. You will ensure the accuracy and integrity of financial aid data and student records across all systems.
- Aid processing and disbursement. You will prepare, certify, and process financial aid offers, including awarding, packaging, and monitoring disbursements. You will perform calculations, document results, and deliver timely, accurate disbursements of funds. You will ensure completion of Exit Counseling and other required communications for students, parents, and schools. You will submit and monitor required reports to the National Student Loan Data System (NSLDS) on behalf of institutions.
- Collaboration and continuous improvement. You will participate in regular team meetings and contribute to a collaborative, cross-functional environment. You will assist in the development and refinement of financial aid policies and procedures and support knowledge sharing across the team. You will stay informed on evolving guidelines, systems, and best practices. As part of a new and growing team, you will contribute to shaping a supportive, high-performing culture.
- The experience. You have direct experience in financial aid administration, including packaging, certifying, disbursing, and performing calculations. You are proficient in financial aid management and student information systems and have experience navigating studentaid.gov , NSLDS and COD.. You may be coming from an auditing firm with an in-depth understanding of compliance and regulatory standards for financial aid access.
- The administrative skills. You are analytical, thorough, and customer-focused. You are organized, self-directed, and able to manage competing priorities with precision and calm. You are proficient in Microsoft Office applications and comfortable using multiple systems and databases to ensure accuracy and efficiency. You can comfortably switch between technology and manual calculations and processing as required.
- The knowledge. You understand and stay up to date with federal and state financial aid regulations, including NSLDS reporting, eligibility determination, and verification processes. Familiarity with Fame’s Freedom, Freedom FinAid, Advantage, and Advantage FinAid applications is preferred.
- The interpersonal skills. You have excellent verbal and written communication skills and can speak with authority and empathy on eligibility for financial aid. You can confidently interact with schools, students, and families, delivering clear, compassionate, and informative support and advice. You are a team player who thrives in a collaborative virtual environment. You are responsive, exercise sound judgment, and understand the importance of tone, timing, and clarity in every exchange. You value inclusivity and respect differing perspectives.
