United Capital is seeking an experienced Administrative Assistant to join our team in The Woodlands, TX. This is an in-office/Hybrid position supporting the operational and client service needs of a high-performing financial advisory practice.
The ideal candidate will bring strong communication skills, exceptional organizational abilities, and a proactive mindset. Prior experience in the financial services industry is preferred, particularly in a client-facing or administrative capacity. This role is best suited for someone who thrives in a fast-paced, professional environment and is comfortable taking ownership of day-to-day operations.

II. Key Responsibilities
- Maintain and manage client files, ensuring accuracy, organization, and compliance.
- Provide administrative support for client events and marketing efforts.
- Handle ordering of office supplies, meals, gifts, and managing all outgoing/incoming mail.
- Coordinate all client and prospect meeting scheduling, confirmations, and follow-ups.
- Track and communicate the receipt of client checks and paperwork.
- Maintain and update CRM records (Salesforce) with accurate contact and activity information.
- Serve as the go-to resource for office equipment and systems support.
- Act as liaison with building management and external vendors.
- Maintain compliance-related documentation and communication logs.
- Provide calendar management and administrative support for the Managing Director.
- Assist with meeting preparation for Wealth Advisors, Relationship Managers, and other team members.
- Work independently and collaboratively on both ongoing and one-time projects.
Education & Experience:
- High School Diploma required; Associate’s or Bachelor’s degree preferred.
- Minimum of 3 years of front office or administrative experience.
- Previous experience in the financial services industry is preferred.
- Familiarity with handling confidential documents and client-sensitive data.
- Strong interpersonal skills and professional demeanor.
- Clear and effective written and verbal communication skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Experience with CRM systems such as Salesforce preferred.
- Highly organized with excellent time management and attention to detail.
- Confident, dependable, and solutions-oriented with a positive attitude.
