Position Summary

We're seeking a dynamic and passionate Administrative Manager, for our Behavioral Health Programs who is client centered and community focused to support our growing team. Under the supervision of the Director of Behavioral Health, this position is responsible for managing the administrative team across all Behavioral Health programs and fulfilling administrative support to the Director of Behavioral Health and Program Managers. This position will be working primarily in the Vista office. Being caring, independent, forward thinking, and the ability to identify and solve challenging situations in a creative manner are central to this position along with the ability to assist in cohesive support, project management, and team building. Required Qualifications

  • Bachelors Degree or 5 Years Relevant Work Experience in lieu of diploma
  • At least five years relevant experience as a hiring manager leading and supervising staff and teams
  • At least 3 years experience working in the behavioral health field
  • Must have experience scheduling for clients and staff including utilizing scheduling software
  • Must be able to establish, maintain, and work cooperatively and collaboratively in multidisciplinary teams with a spirit of honesty, humbleness, and self-awareness.
  • Possesses advanced knowledge that is primarily intellectual in character and includes the ability to exercise discretion, independent judgment, and creative problem solving.
  • Must be able to work accurately, in a timely manner, with little or no supervision, and demonstrate appropriate initiative.
  • Ability and compatibility with agency purpose, goals, philosophy, and approach.
  • Demonstrates the interpersonal sensitivity and cultural competency needed to work with diverse populations focusing on client-focused trauma Informed care.
  • Accurate spelling, grammatical usage, and excellent communication and time management skills.
  • Experience communicating with clients and their families
  • Knowledge of MS 365 including strong formatting skills with good working knowledge of MS Excel, Word, Outlook, Teams, Zoom and ability to learn other software as necessary.

Responsibilities

Duties include but are not limited to:

  • Director of Behavior Health and Program Manager administrative support including:
  • Handles complex scheduling and meeting logistics including all meeting prep, minutes, and task/project coordination before and after.
  • Attends meetings per the direction of the Director of Behavioral Health
  • Works on collaborative projects including researching, organizing, and compiling data
  • Develops and updates organizational charts
  • Works with Program Managers on Corodata prep, coordination, and requests


Administrative Team Supervision

  • Supervises a team of administrators across Behavioral Health programs
  • Hire and train positions as needed
  • Organize and conduct individual, team, and retreat meetings and events
  • Conducts 90-Day and Annual Performance Evaluations
  • Approves timesheets, absences, expenses, and trainings
  • Manages team dynamics and handles disciplinary action as needed
  • Covers reception as needed adhering to all policies and procedures while attending to the needs of staff, clients, and the community


  • Participates in staff meetings, supervisions, trainings and other required agency and community meetings
  • Adheres to all policies and procedures including HIPAA and crisis intervention
  • Assists in auditing BH data entry, file maintenance, scheduling, etc
  • Completes all other duties as assigned


Schedule/Compensation

  • FT exempt position
  • Typical Work Week: Monday through Friday/40 hours
  • $65,000 - $69,000 Salary will be commensurate with experience and education.
  • Differential pay offered for bilingual skills. EEO.


Additional Requirement

  • Must have a valid driver's license and reliable transportation with a good driving record.
  • Willing to use own, properly insured, reliable vehicle for the job (mileage reimbursed).
  • Employment subject to clearances, including background finger printing checks, driving record, tuberculosis testing, and drug testing.
