Summary:

We are seeking a dynamic, detail-oriented Engagement and Event Coordinator to join our team. This role is instrumental in designing and executing impactful events and engagement strategies that support organizational goals, elevate brand visibility, and deepen stakeholder relationships. The ideal candidate is a proactive planner with exceptional communication and organizational skills who thrives in a fast-paced environment and is passionate about creating memorable experiences.

In addition to event coordination, this role supports sponsorship strategy—from recruitment to fulfillment—ensuring maximum event reach and value for all partners involved.

Key Responsibilities

  • Event Planning and Execution
  • Develop and manage event plans, budgets, and timelines
  • Coordinate logistics, including vendors, venues, catering, A/V, and transportation
  • Ensure compliance with local regulations (permits, insurance, etc.)
  • Oversee on-site event setup, live execution, and post-event teardown
  • Conduct post-event evaluations and reporting

Sponsorship Management

  • Identify and target potential community partners and sponsors
  • Assist in developing sponsorship strategies and packages
  • Ensure fulfillment of sponsorship deliverables
  • Build and maintain strong sponsor relationships
  • Collaborate with marketing to integrate sponsor branding and activation
  • Track sponsorship metrics (engagement, exposure, ROI)

Marketing and Promotion

  • Work with communications teams to promote events across channels
  • Manage guest communications, invitations, and RSVPs
  • Support the design and deployment of branded materials and digital assets

Administrative and Reporting Duties

  • Maintain accurate records of budgets, invoices, and contracts
  • Provide regular status updates to internal stakeholders
  • Create detailed post-event summaries with performance insights and lessons learned

Community Engagement

  • Research and recommend nonprofit partners for community impact initiatives
  • Identify volunteer opportunities and represent the organization at community events (some evenings/weekends required)

Qualifications Or Competencies

  • 3+ years of event planning experience (nonprofit or corporate preferred)
  • Strong project management and vendor coordination skills
  • Experience with sponsorship management or fundraising campaigns
  • Exceptional written and verbal communication skills
  • Ability to manage multiple projects and remain calm under pressure
  • Customer service and interpersonal skills
  • Sales or partnership development experience is a plus
  • Veteran status or experience supporting military communities is highly desirable
