Description

ESSENTIAL FUNCTIONS

The Office/Shop Administrative Coordinator is responsible for supporting daily administrative and operational functions across both the office and shop floor. This includes overseeing office procedures, coordinating vendors, maintaining supplies, supporting finance and HR activities, and assisting with facility and equipment needs to ensure smooth and efficient operations.

Essential Functions

  • Manages day-to-day office operations including calendars, supplies, and filing system
  • Handles incoming/outgoing mail and general correspondence.
  • Maintains internal documentation and enforces office procedures.
  • Oversees facility cleanliness, functionality, and safety in both office and shop environments. -they will not oversee safety
  • Coordinates vendor services (e.g., janitorial, IT, repairs). Supports basic finance functions including petty cash, reimbursements, and invoice processing. Mention AP and AR
  • Assists with timekeeping, attendance tracking, and onboarding logistics.
  • Coordinates employee events, birthdays, and recognition efforts.
  • Maintains office equipment, supplies, and collaborates with IT support for technical issues. Neil will handle IT
  • Works on special projects and performs other duties as assigned. (5-10%)

Requirements

KNOWLEDGE AND ABILITIES -must be bilingual, familiar with QuickBooks, and ADP

  • Strong organizational and administrative skills.
  • Ability to communicate effectively with vendors, staff, and leadership.
  • Familiarity with office systems, digital filing, and shared drives.
  • Ability to manage multiple priorities with minimal supervision.
  • Basic accounting knowledge for expense tracking and invoice processing.
  • Proficient in Microsoft Office Suite and basic technology troubleshooting.
  • Team-oriented with a service mindset.
  • Comfortable in a manufacturing or shop floor environment.

Education And Experience

  • High School Diploma or GED required; Associate's degree preferred.
  • Minimum 2 years of administrative, office coordination, or facilities experience. Our pay scale requires 5+ years
  • Experience in a manufacturing or production environment a plus.

PHYSICAL DEMANDS

  • Light to Medium work. Up to 30 lbs. of force occasionally, and/or up to 10 lbs. frequently
  • Standing, walking, or moving through shop and office spaces regularly.
  • Bending, reaching, and occasional lifting of office or facility supplies.
  • Visual acuity required for document review and data entry.

WORK ENVIRONMENT

  • Worker is subject to environmental conditions typical of both office and manufacturing settings.
  • Occasional exposure to shop noise, temperature fluctuations, and moving equipment.
  • Must be comfortable navigating between front office and production areas.
