This position will be working the following part time hours in our Wyomissing Outpatient Office: Mon 12:30-6:30pm, Tues 12:30-6:30pm, Wed12-6:00pm, Thurs 12:30-6:30pm.

Duties And Responsiblities

  • The Office Specialist maintains client records in a timely, organized and confidential manner.
  • The Office Specialist enters all client pre-admission, admission and discharge and scheduling data into the Sigmund system for Caron Counseling Services on a daily basis.
  • Reviews charts of discharged clients for closure; closes and purges charts for final filing
  • Type and mail documents to referral sources.
  • Answers requests for client records.
  • The Office Specialist covers the front desk by answering incoming calls, greets and registers incoming clients, collects copays, completes necessary billing and release forms, schedules clients for appointments, takes pre-admission information, explains insurance benefits, copies and collates patient packets, distributes mail and supplies.
  • Gathers client data prior to the initial visit and disseminates that data to the appropriate individuals.
  • Photocopies and faxes documents.
  • When working the evening shift or closing the office, the Office Specialist updates client lists via the computer, locks all doors, file cabinets and turns off lights.

Education / Experience Qualifications

  • Must have a high school diploma.
  • 1 years’ experience or equivalent in medical records or outpatient facility is preferred.
  • Flexible working schedule is required.
  • If in recovery, 1-year continuous sobriety preferred.

Knowledge, Skills And Abilities

  • Ability to function as part of a self-directed work team. Must exercise independent judgment, perform routine tasks with minimal supervision and interact professionally with clients, referral sources, staff and the general public.
  • The ability to type 50-60 words per minute is required.
  • Knowledge of computers is required.
