Job Summary
The Show Secretary supports the Show Office Manager in the planning, coordination, and execution of equestrian competitions at the World Equestrian Center. This role is ideal for a detail-oriented professional with prior experience in show office operations, ready to take on greater responsibility in managing entries, records, and communications with exhibitors and officials.

The Show Secretary supports the Show Office Manager in the planning, coordination, and execution of equestrian competitions at the World Equestrian Center. This role is ideal for a detail-oriented professional with prior experience in show office operations, ready to take on greater responsibility in managing entries, records, and communications with exhibitors and officials.
Primary Responsibilities
- Assist in preparing prize lists, entry forms, and class schedules.
- Manage and verify horse show entries, stall assignments, and required documentation.
- Coordinate with governing bodies to ensure rule compliance.
- Communicate with trainers, riders, and owners regarding entries and show logistics.
- Oversee check-in and registration processes.
- Maintain accurate and up-to-date records of entries, scratches, and results.
- Ensure timely posting of class results and updates.
- Provide support to judges, stewards, and technical delegates.
- Submit official results to governing bodies.
- Assist with financial reconciliation of entry fees, prize money, and office charges.
- Compile post-show reports and feedback for continuous improvement.

- Ability to move around the event venue, including walking, standing, and occasionally climbing stairs, for extended periods.
- Capability to lift and carry items such as boxes of entry forms, equipment, and supplies, typically weighing up to 25 pounds.
- Proficiency in handling paperwork, using a computer, and operating office equipment.
- Stamina to work long hours, especially during events, which may include early mornings, late evenings, and weekends.
- Good vision and hearing to interact with participants, officials, and volunteers, and to monitor event activities.
- Strong verbal communication skills to provide clear instructions and information in a noisy and busy environment.
- Ability to remain calm and focused under pressure, managing multiple tasks and addressing issues as they arise.
- Minimum 2 years of experience in a show office or equestrian event setting.
- Familiarity with USEF/USHJA rules and horse show protocols.
- Proficiency in horse show management software.
- Strong organizational, communication, and multitasking skills.
- Ability to work long hours, weekends, and holidays during show weeks.
- Experience in hunter/jumper or dressage disciplines.
- Calm under pressure and able to resolve issues diplomatically.
- Passion for equestrian sports and delivering exceptional exhibitor experiences.
