Operations Manager

Location: Long Beach, CA (On Site)

Position Type: Full-Time | Exempt

About The Role

We are seeking an experienced and detail-oriented Operations Manager to lead and manage the internal operations of our headquarters. This individual will play a key role in ensuring our administrative, financial, and operational systems run smoothly to support the effectiveness of our programs and leadership.

This is a high-impact role ideal for someone with strong strategic thinking, organizational development, and cross-functional coordination experience. The Operations Manager will work closely with the President, Executive Director and senior leadership to improve internal processes, ensure compliance, and provide seamless support across departments.

What You'll Do

The essential functions include, but are not limited to the following:

Organizational Operations & Office Management

  • Oversee day-to-day operations at headquarters, including office systems, supply management, space planning, and vendor relations.
  • Ensure internal processes are efficient, documented, and consistently followed across the organization.
  • Manage operational calendars, task tracking, and internal project timelines across departments.

Executive & Administrative Support

  • Provide high-level administrative support to the Executive Director and senior team, including scheduling, meeting logistics, follow-ups, and travel coordination.
  • Draft and manage communications, reports, and executive summaries as needed.
  • Prepare materials for board meetings and maintain corporate records.

Internal Systems & Process Development

  • Lead process improvements to enhance cross-departmental communication and workflow.
  • Maintain operational manuals, SOPs, and documentation of internal policies and procedures.

Technology & Information Management

  • Manage and maintain internal platforms (e.g., G Suite, Teams, project management software, CRM).
  • Liaise with IT support to ensure staff technology needs are met and systems remain secure.
  • Organize digital file systems, access permissions, and knowledge management.

Cross-functional Support

  • Act as the operations point of contact for program leads, supporting cross-functional planning and troubleshooting.
  • Assist with preparation and logistics for staff meetings, trainings, and retreats.
  • Serve as a resource for internal communications and organizational updates.

Qualifications

  • Minimum of 6–8 years of professional experience, with at least 3 years in operations or administration in a nonprofit or mission-aligned organization.
  • Proven ability to manage complex workflows, competing deadlines, and organizational systems.
  • Experience supporting executive leadership and coordinating cross-functional teams.
  • Strong verbal, written, and interpersonal communication skills.
  • High level of integrity, discretion, and professionalism when managing sensitive information.
  • Comfort with project management tools, cloud-based systems, and operational software.

Preferred Qualifications

  • Nonprofit sector experience strongly preferred.
  • Knowledge of nonprofit compliance or grant operations.
  • Experience with budgeting, vendor management, and operational planning.
  • Familiarity with diversity, equity, and inclusion (DEI) principles in workplace operations.
