Key Responsibilities
- Manage executive calendars, travel logistics, meetings, and networking events
- Draft and manage internal and external communications, including emails, memos, and client correspondence
- Prepare meeting materials, take detailed notes, and track action items
- Assist in the preparation of contract documents with clients and subcontractors
- Coordinate client and lender items such as legal documents, insurance certificates, qualification documents and bonding requirements
- Identify prospective new clients and coordinate outreach efforts
- Track industry networking events and schedule company staff's participation
- Communicate with clients, vendors, and project stakeholders on behalf of executives
- Assist with purchases on behalf of executives
- Handle confidential information with absolute discretion
- Use Microsoft Office Suite, and other software tools for creative material
- Assist in the preparation of RFP responses and proposal documentation
- Help vet candidates for hiring as needed
- Answer customer calls and respond to email inquiries
- 5+ years of experience supporting executives (construction, architecture, engineering or real estate development industries strongly preferred)
- Proficient in Microsoft Office Suite (Excel, Outlook, PowerPoint)
- Familiarity with construction terminology and project lifecycles
- Strong organizational and multitasking skills with a keen attention to detail
- Excellent communication skills-verbal, written, and interpersonal
- Able to adapt to a dynamic work environment including office and industry events settings
- Experience with Adobe creative suite, or other equivalent software to develop proposal materials
- Comfortable modifying legal documents and/or interacting with attorneys.
- Able to navigate and present financial documents (prepared by others)
- Experience in real estate development or construction law is a bonus
