Position Overview

The Marketing and Communications Project Manager is a key member of the Milwaukee Art Museum’s Marketing and Communications team, responsible for ensuring the smooth execution of day-to-day operations and supporting broader departmental initiatives. This role blends project coordination, internal communications, and administrative support with hands-on involvement in media outreach and social content.

The ideal candidate is highly organized, detail orientated, and collaborative—capable of managing timelines, facilitating communication across departments, and contributing to the Museum’s visibility through effective coordination and content support. This position offers a unique opportunity to work closely with colleagues across the Museum and support the promotion of exhibitions, events, and the Museum’s mission to inspire and connect with the community through art.

Key Responsibilities

Project Coordination:

  • Manage and monitor project schedules and timelines for the Marketing and Communications team.
  • Build projects in Basecamp and track progress. Assist in streamlining workflows.
  • Schedule and facilitate project meetings, including kick-offs, progress check-ins, and post-project debriefs.
  • Exercise discretion and maintain confidentiality when working on sensitive projects or materials that may involve proprietary or pre-release information.

Internal Communications + Collaboration:

  • Coordinate communication across departments to support collaborative projects.
  • Assist with institution-wide communications and messaging in coordination with department leadership.
  • Attend community meetings and Museum events to build relationships and represent the department.

Administrative Support

  • Manage incoming communications via [email protected].
  • Oversee vendor invoicing, departmental credit card usage, and maintain department supplies and inventory.
  • Maintain file systems and ensure final assets are archived in the Digital Asset Management system.
  • Devise systems to improve organization and efficiency across the department.
  • Support the Director of Marketing and Communications with administrative tasks and daily scheduling.

Media and Content Support

  • Assist with scheduling media opportunities, coordinating across departments and with media outlets. Assist the Director of Marketing and Communications with scheduling media outreach and monitoring results.
  • Maintain press clippings and ensure the Press Room on mam.org is up to date.
  • Distribute press releases and images to media outlets as needed.
  • Collaborate with the Content Marketing Manager to track and update third-party listing sites and event listings on Museum channels.
  • Attend Museum events to capture and share real-time content across social media platforms, ensuring timely, engaging coverage that reflects the Museum’s voice and enhances audience engagement.
  • Step in to monitor and respond to social media comments and messages when the Content Marketing Manager is unavailable, ensuring continuity in engagement and timely communication with audiences.

Requirements

Qualifications

  • Minimum of 2 years of experience in project coordination or administrative support, preferably in a marketing, communications, or arts environment.
  • Strong organizational skills and the ability to manage multiple priorities and deadlines with high attention to detail.
  • Clear and effective verbal and written communication skills.
  • Ability to collaborate with internal teams and external vendors across varying levels of responsibility.
  • Familiarity with Microsoft 365 is required.
  • Experience with Basecamp, Meltwater, and Hootsuite is preferred but not required.
  • Basic experience creating or managing content on social media platforms (Instagram, Facebook, or X), with an understanding of best practices for engagement and tone.
  • A genuine interest in and enthusiasm for the arts and the Museum’s mission.
  • Ability to exercise discretion and maintain confidentiality when working on sensitive projects or materials that may involve proprietary or pre-release information.

Additional Information

  • Occasional attendance at evening or weekend Museum events may be required.
  • This is a full-time, on-site position located at the Milwaukee Art Museum.

Temperament

Excellent interpersonal skills, patience, self-starter and work well under pressure. Manages time efficiently, analyzes and solves problems, independently and if necessary, collaboratively. Ability to be flexible and embrace changes within this position due to departmental priorities. Ability to work with a wide variety of people to achieve the goals of the Museum.
