About The Role
The Human Resources Assistant provides essential administrative support to our People Operations team, ensuring our HR processes run smoothly and efficiently. This role is ideal for someone who is highly organized, detail-oriented, and wants to build a career in Human Resources.
As our HR Assistant, you'll focus primarily on administrative tasks that keep our HR department running smoothly. You'll manage the HR inbox, process Employee Change of Status Forms, monitor new hire self-service onboarding, and ensure all system access changes are properly submitted through IT tickets. While our HR Business Partner and HR Representative handle employee inquiries and complex issues, you'll provide the critical behind-the-scenes support that makes their work possible. Your attention to detail and proactive approach will directly impact the efficiency of our entire HR operation.

- Base Salary: $22 - $25 hourly
Day-to-Day Administrative Excellence
- HR Inbox Management: Monitor and manage the HR inbox, routing messages to appropriate team members and handling routine requests
- Employee Change Processing: Process all Employee Change of Status Forms with accuracy and timeliness
- Document Management: Create, distribute, file, and track HR forms, notices, and communications
- Data Entry: Input and update employee information in Paylocity using Change of Status Forms
- File Maintenance: Maintain organized digital and physical employee files that are audit-ready
- Onboarding Support: Monitor new hire completion of self-service onboarding in Paylocity
- Documentation Processing: Ensure all new hire paperwork is completed accurately and on time
- System Access Coordination: Submit IT tickets for new hire system access and permissions
- Progress Tracking: Monitor onboarding checklist completion and follow up on missing items
- HRIS Maintenance: Process Employee Change of Status Forms and ensure data accuracy in Paylocity
- IT Ticket Management: Submit IT tickets for all employee changes to update access and permissions across systems
- Compliance Monitoring: Track I-9 forms, background checks, training completions, and certification renewals
- Administrative Follow-up: Send reminders for incomplete documentation, expired certifications, and pending tasks
- Event Logistics: Assist with coordination of employee engagement activities and company events
- Process Documentation: Help maintain and update HR procedures and checklists
- Exit Interview Support: Serve as backup for conducting exit interviews when needed
- Separation Documentation: Prepare and process termination paperwork and final documents
- System Access Removal: Submit IT tickets to remove system access for departing employees
- Equipment Recovery: Coordinate return of company property and track completion
- Final Details: Ensure all offboarding tasks are completed thoroughly and on time
Must-Haves
- 1–2 years of administrative or office support experience (HR experience is a plus!)
- Experience with HRIS systems (Paylocity, ADP, Workday, or similar)
- Strong email management and inbox organization skills
- Exceptional attention to detail and accuracy in data entry
- Strong organizational skills with ability to manage multiple tasks and deadlines
- Professional written communication skills for email correspondence
- Discretion and integrity when handling confidential information
- Proficiency in Microsoft Office Suite and/or Google Workspace
- Previous experience in administrative support roles within HR departments
- Knowledge of California employment laws and compliance requirements
- Experience with e-Verify and I-9 administration
- Familiarity with tracking systems and maintaining compliance calendars
- HR certification or relevant coursework
