POSITION OVERVIEW
The Accounts Receivable (AR)/Billing Specialist is responsible for ensuring that all shipments and services provided are invoiced timely and accurately. The specialist will be an integral part of ensuring that the AR records are accurate by reviewing discrepancies and following up with customers on past-due balances. This role supports multiple departments by ensuring accurate billing and providing guidance on billing-related matters.
ESSENTIAL FUNCTIONS

Billing
- Ensure timely and accurate invoicing for all products and services
- Maintain billing files and documentation
- Track and apply sales promotions
- Issue credits for customer returns, pricing adjustments, and promotions
- Maintain invoice contacts and resolve invoice delivery issues in Salesforce
- Ensure AR activities comply with all relevant laws, regulations, and policies
Accounts Receivable Management
- Support customer collection efforts, ensuring thorough documentation and adherence to internal accounting practices
- Interface with Sales and Customer Experience teams to resolve account issues and ensure accurate account status
- Respond to customer inquiries regarding invoices or payments
- Reconcile AR ledger with the general ledger monthly
Sales & Use Tax Reporting – All Subsidiaries
- Prepare and submit monthly tax returns
- Reconcile general ledger tax accounts monthly
- Maintain exemption certificates for all customers
Miscellaneous
- Serve as backup support for other accounting functions
- Assist with year-end and internal audits
- Maintain strict confidentiality
- Perform additional duties as assigned
QUALIFICATIONS
To perform this position successfully, an individual must demonstrate regular, predictable attendance and be able to perform each essential duty satisfactorily. EDUCATION/CERTIFICATION/LICENSURE
- Associate’ or Bachelor’s degree in accounting or related area
EXPERIENCE REQUIRED
- 2+ years in an accounting related field
KNOWLEDGE & SKILLS REQUIRED
- Strong understanding of accounting principles and terminology
- Accurate and efficient with data entry and basic math calculations
- Excellent attention to detail, accuracy, and organizational skills
- Effective communicator with strong interpersonal and customer service skills
- Proactive, self-motivated, and able to manage multiple priorities independently
- Solid problem-solving and time management abilities
- Comfortable working in a fast-paced, team-oriented environment
- Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint); experience with Great Plains Dynamics preferred
- Willingness to learn and adapt to new tools or processes
PHYSICAL REQUIREMENTS
To accomplish the essential functions of the position, one must be physically able to operate or work with computers, calculators, reference books, computer software applications, phones and other standard office equipment. The physical activities of the position include talking, reaching, grasping, light lifting, bending, squatting, and other repetitive motions.
WORKING CONDITIONS
- Work is considered primarily non-physical and performed mainly in a professional office environment with rare exposure to environmental factors.
- Minimal safety hazards with general office working conditions.
- Travel is not required for this position
