Duties/Responsibilities
- Direct the administrative services including telephone; printing; filing; mailing; distribution of mail; travel planning; ensuring special project deadlines are met; preparing correspondence and reports requiring some understanding of technical matters; and responding to routine and non-routine inquiries using standardized policies and procedures.
- Simultaneously manage many tasks, in various stages of completion
- Assist with special projects and assignments (i.e. departmental continuing education programs, camps, etc.)
- Assist medical staff in maintaining current credentialing / certification / licensure / employee health checks maintain departmental personnel files.
- Ensure expense reports are accurate and filed following hospital policy.
- Manage provider schedules, communicate absences, schedule changes and conflicts in a timely manner including call schedules at all locations
- May be asked to schedule departmental meetings and take minutes, as needed
- Participate in hospital committees, as needed
- Ensures requirements for shadow students/other visitors are met; coordinates schedules for these as well as fellows and residents.
- Maintains positive and frequent communication with families; May assist in the scheduling of surgeries, associated peer to peers, and associated communications with the Surgery departments and surgeon teams.
- Helps with daily operation of a wide variety of activities within Department
- Abides by organizational and HIPAA guidelines, privacy practices, patient confidentiality, and patient rights
- Supports hospital and departmental performance improvement goals
- Supports quality care through compliance with departmental and organizational policies and guidelines, and external agency guidelines, standards, or regulations
- Supports departmental initiatives and change efforts
- Practices financial and resource stewardship
- Engages in strong communication, acts as team player in supporting mission and vision of organization, and abides by organization’s core values
- Additional duties as assigned
- High School or equivalent required
- Two years of college or secretarial school, or equivalent work experience, or five years’ experience of increasing responsibility for staff support and/or administrative assistant experience preferred.
- Microsoft Office skills/experience preferred.
