Job Description

An established manufacturer is seeking an Executive Assistant to support the daily operations and strategic initiatives of the CEO. The ideal candidate is a highly organized with strong communication and multitasking skills.

Location: Sugar Land, TX - Onsite

Type of Position: Direct Hire

Responsibilities

  • Maintain efficient executive office operations, including organizing procedures and workflows.
  • Monitor and manage office supplies and equipment to ensure availability and functionality.
  • Maintain accurate records and a structured filing system.
  • Assist in planning and executing special projects as assigned.
  • Collaborate with multiple departments to track progress and ensure the timely completion of project milestones.
  • Act as a liaison between the executive team and various internal and external contact
  • Serve as the primary point of contact for incoming and outgoing communications, including emails, phone calls, and mail.
  • Draft, edit, and format professional correspondence, reports, presentations, and other documents.
  • Communicate clearly and professionally with internal teams, external partners, and stakeholders on behalf of executives.
  • Organize and facilitate executive meetings, including scheduling, agenda creation, and recording meeting minutes.
  • Arrange and oversee logistics for both on-site and off-site meetings and events.
  • Serve as the primary point of contact for incoming and outgoing communications, including emails, phone calls, and mail.
  • Draft, edit, and format professional correspondence, reports, presentations, and other documents.
  • Communicate clearly and professionally with internal teams, external partners, and stakeholders on behalf of executives.
  • Manage and maintain executive calendars, including scheduling appointments, meetings, and complex travel arrangements.
  • Prepare detailed itineraries and agendas, coordinating all logistics in line with company policies.
  • Ensure executives are fully prepared for meetings by providing relevant materials and briefings.
  • Handle confidential and sensitive information with the utmost discretion.

Requirements

  • 8+ years of experience as an Executive Assistant supporting Senior Leadership
  • Bachelor’s degree preferred
  • Full fluency in Vietnamese is required
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
