Administrative Support Specialist

Hybrid - Vancouver, Washington (3 days onsite per week)

The Administrative Support Specialist will work in a fast-paced, highly collaborative, and innovative drug discovery company. You will play a significant role in supporting members of our executive team in managing and directing the entire company. You will leverage your experience in supporting, organizing, and communicating with leaders to support communication throughout the organization and with Absci's partners.

This position requires strategic thinking and a high level of collaboration across multi-disciplinary teams within Absci. We work with a sense of urgency in a dynamic team and high-performance culture, striving to achieve the impossible!

Responsibilities:

  • Provides high-level administrative support and assistance to members of the Executive Team and general business administrative tasks as assigned
  • Proactively manage and anticipate the day-to-day needs of the Executive to ensure they are prepared and organized for all internal and external meetings and events.
  • Manage complex and fast-changing global calendars, using sound judgment to assess conflicting priorities and responsibilities.
  • Performs clerical and administrative tasks, including drafting internal and external communications, memos, invoices, reports, and other documents for senior staff.
  • Assists in the preparation of reports and other materials for the consideration of the Board of Directors.
  • Handle highly confidential and/or sensitive matters and projects with discretion and tact.
  • Arranges both international and domestic travel, meals, and accommodations for executives.
  • Schedules and attends meetings on behalf of executives, taking notes, recording minutes, and providing direction.
  • Receives incoming communication or memos on behalf of senior staff, reviews content, determines importance, and summarizes and/or distributes content to appropriate staff.
  • Acts as gatekeeper and manager for the Executives' schedules.
  • Key role in the preparation of departmental meetings, agenda items, communications, and other functions.
  • Assists with the preparation, monitoring, and improvement of workflows and other project management functions within the department.
  • Prepare and process expense reports.
  • Performs additional duties as assigned.

Qualifications:

  • Bachelor's degree in Business Administration or related field preferred.
  • At least five (5) years of related experience working directly with senior management.
  • Experience working in a position that requires confidentiality
  • Expert skills in Excel, PowerPoint, and Word.
  • Extensive knowledge of Google's office platform, including email, Google Docs, Google Calendar, and other applications.
  • Experience with scheduling for a global organization and managing multiple calendars, in various time zones

Preferred (but not required):

  • Education or work experience in a scientific field
  • Previous experience with a high-growth, fast-paced startup organization.
  • Ability to learn processes and procedures quickly and effectively.

The salary range for this position is $90,000-120,000/year. Competitive equity package applies. Pay offered may vary depending on job-related knowledge, skills, and experience.
