JOB TITLE: Human Resource Specialist

DEPARTMENT: Human Resources

REPORTS TO: Human Resources Officer

POSITION TYPE: Full time position. Days and hours of work are Monday through Friday 8:30am - 4:30pm. Will be scheduled based on the operational need (rotate shift, standby, on-call)

CLASSIFICATION: Non-Exempt

Position Summary

Responsible for performing a wide variety of Human Resource function in a professional and confidential manner.

Essential Duties And Responsibilities

  • Must be confidential, highly organized and detail oriented in handling all HR information.
  • HR Support Function to include the following:
    • Maintain confidential employment records for all employees in electronic and paper form.
    • Prepare information for Employee Orientation, maintain supply of materials and manage and schedule employees and presenters.
    • Process all new-hire paperwork, create ID badges, and perform all required screenings.
    • Process all separation paperwork, deactivation of access and collection of company property.
    • Assist with enrolling in Medical/Dental/Vision/Life/401k when employee becomes eligible.
    • Data entry of all appropriate information from orientation.
    • Report claims and follow-up with workers’ compensation carrier.
    • Assist with 401k enrollment, management and distributions.
    • Assist with FMLA, Leave and Disability claims.
    • Assist with EEO-1 reporting.
    • Assist with OSHA log reporting.
    • Assist with Annual Open Enrollment meetings and annual documentation notices.
    • Coordinate, track, setup and assist presenters throughout the day during annual Blitz trainings.
    • Assist with posting current positions open to website and job posting boards, monitoring responses, reviewing resumes and forwarding to appropriate hiring manager. Send employee birthday cards to all employees.
    • Assist with creating monthly staff newsletter, birthday list and longevity milestones and distribute.
    • Copy and distribute Little Things that Count cards to supervisors and employees.
    • Distribute annual performance evaluations and monitor their return.
    • Assist with employment verifications and respond to unemployment claims. .
    • Provide monthly reporting to the Safety Committee as requested or needed
    • Assist with reviewing and suggesting updates for management policies, handbook, job descriptions, performance evaluations, etc. on an ongoing basis.
    • Possess the ability to make independent decisions when circumstances warrant it using good judgement and ethical conduct.
    • Able to perform job duties and work independently with frequent interruptions.
    • Able to read, write and speak English in a cogent and professional manner.
    • Able to organize, prioritize, and manage time, multiple tasks and projects.
    • Capable of concentrating with large volumes of work and handle pressure.
    • Possess the ability to maintain reliable on-site attendance.
    • Able to work mandatory work days and mandatory OT as needed.
    • Able to meet the physical demands and working environment of the position.
    • Able to follow procedures.

Education And/or Experience

  • Degree in HR Administration preferred or 3-5 years of experience in similar position.
  • Proficient in MS Word, Excel, Outlook, PowerPoint and Publisher required.
  • PHR/SPHR or SHRM-PC/SHRM-SPC certification preferred.
  • Hands-on experience with Human Resource Information Systems (HRIS), familiarity with Proliant preferred.
  • Proven work experience as HR Generalist or HR Specialist
  • Proficient in public speaking

Certificates, Licenses, Registrations

  • Notary License preferred.
