Position Summary:

The Project Manager is responsible for the planning, coordination, and successful execution of healthcare service projects, with a strong focus on mobile occupational health teams. This role involves managing personnel, logistics, and client relationships to ensure operational excellence, regulatory compliance, and high-quality patient care. The Project Manager will serve as the primary point of contact for client partners, and will oversee all aspects of staffing, scheduling, supply management, and protected health information (PHI) handling

Requirements

Staffing & Team Management

  • Interview, hire, and onboard healthcare personnel, including NPs, RNs, MAs, and support staff.
  • Oversee staff performance, provide coaching, and manage daily operational needs.
  • Approve and process timecards and payroll on a biweekly basis.

Scheduling & Logistics

  • Create and maintain staff schedules for multiple mobile healthcare teams.
  • Coordinate travel, lodging, and worksite arrangements for mobile teams and equipment.
  • Manage vehicle assignments and readiness for mobile deployment.

Client Engagement

  • Serve as the primary operational liaison with client partners.
  • Coordinate schedules, facility requirements, and service timelines with clients.
  • Participate in regular update meetings with clients and internal leadership.

Data & Compliance

  • Review, manage, and securely upload PHI in compliance with HIPAA and company policies.
  • Ensure accurate and timely reporting of KPIs.
  • Conduct site visits to monitor quality of care and operational effectiveness.
  • Assist in generating and revising project workflows and SOPs.
  • Prepare and assist in management of billing data based on client contracts, as well as assist in review and management of project expenses and vendor invoices.
  • Utilize and assist in management of client dashboards and information access portals.
  • Utilize WHS and client electronic medical records systems as needed from time to time to manage patient care data.

Supplies & Equipment Management

  • Order, track, and manage medical and operational supplies.
  • Maintain inventory control and ensure equipment readiness for field operations.
  • As needed, deliver vehicles, equipment or supplies to sites.

Other Duties

  • Support program creation for new service locations.
  • Perform site visits to build collaboration with clients and staff, as well as to perform QA/QC duties.
  • Collaborate with cross-functional teams including HR, IT, and Compliance.
  • Perform other duties as assigned to support operational goals.

Ideal Candidate Will Have The Following

  • Proven experience in healthcare project or program management, preferably with mobile or field-based medical teams.
  • Strong knowledge of HIPAA compliance and PHI handling procedures or willingness to learn.
  • Proficiency in Microsoft Word, Excel, and related software tools.
  • Excellent organizational, problem-solving, and critical-thinking skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong business acumen and comfort interacting with executive leadership and clients.
  • Excellent critical thinking, problem solving, mathematical skills and sound judgment

Physical Demands

To perform this role successfully, the employee must be able to:

  • Maintain visual acuity and hearing necessary for meetings, computer work, and client interaction.
  • Sit for extended periods while using a computer or phone.
  • Travel and drive a motor vehicle to various client or deployment sites.
  • Lift, carry, push, pull, twist, and bend when handling supplies or equipment weighing up to 50 pounds.
  • Stand, walk, and move for extended periods during site visits or deployments.
  • Operate standard office equipment and mobile devices.

FLSA Exempt

This position is classified as exempt under the Fair Labor Standards Act (FLSA). The employee’s primary duty is the performance of office or non-manual work directly related to the management or general business operations of the Company or the Company’s customers. The role requires the regular exercise of discretion and independent judgment with respect to matters of significance, including supervision of staff, planning and directing work, and making decisions that impact operational and strategic outcomes.

Salary Description

$33.00-$40.00/hr
