As a Mitigation Project Coordinator, you'll be the calm in the storm, guiding clients through the restoration process and helping them get their lives back on track. This is a key administrative and operational role on our team, and we're looking for someone sharp, organized, and compassionate-someone who thrives under pressure and genuinely cares about helping others.

What You'll Do

  • Coordinate all day-to-day activities for assigned mitigation projects
  • Serve as the main point of contact for homeowners and clients
  • Schedule and manage technicians, project timelines, and job updates
  • Maintain accurate and up-to-date documentation in job management software
  • Organize and maintain digital and physical project files and records
  • Prepare reports, job summaries, and billing documentation for internal and external use
  • Ensure timely and professional communication with clients, vendors, and insurance adjusters
  • Assist in maintaining compliance with insurance program requirements and internal protocols
  • Support Project Managers with job costing, material ordering, and resource tracking
  • Manage administrative tasks such as data entry, email correspondence, scheduling, and meeting coordination
  • Process incoming paperwork (e.g., work authorizations, permits, inspection reports) and track follow-ups
  • Conduct final walk-throughs and ensure full customer satisfaction
  • Handle customer concerns with professionalism and empathy
  • Estimate emergency services billing and negotiate scopes with adjusters
  • Support A/R collections, reconstruction, and other departments as needed
  • Occasionally assist in marketing and business development initiatives

What You Bring

  • 1-2+ years of relevant experience preferred (restoration or construction industry a plus)
  • High school diploma or equivalent (college or administrative coursework a plus)
  • Strong administrative, organizational, and time-management skills
  • High attention to detail with ability to track multiple moving parts
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with CRM or job management software preferred (e.g., DASH, Xactimate, PSA)
  • Ability to work independently and as part of a team in a fast-paced environment
  • Problem-solver with a proactive, team-first attitude
  • Mitigation experience and/or IICRC certifications a plus, but not required

Schedule

  • Standard hours: 9:00 AM - 6:00 PM
  • Must be able to participate in rotating phone on-call schedule
