Summary

The Proposal Writer & Capture Coordinator plays a key supporting role in identifying and tracking new business opportunities and supporting the development of proposal submissions. This individual will assist the Capture & Proposal Manager with business development activities including capture planning logistics, document preparation, and proposal writing and coordination. The ideal candidate will be highly organized, talented individual who can effectively gather information from team members and effectively communicate complex solutions in clear and concise proposals.

Essential Duties And Responsibilities

Proposal Writing and Development:

  • Assist in the development of high-quality proposals, bids, and other documents in response to requests for proposals (RFPs), requests for quotes (RFQs), and other solicitations.
  • Assist with formatting, proofreading, and organizing proposal documents in compliance with solicitation requirements.
  • Write and edit proposal content, ensuring accuracy, clarity, and alignment with brand messaging and objectives. Collaborate with subject matter experts, sales teams, and other stakeholders to gather relevant information and insights and develop a competitive scope of work and project design.
  • Assist in managing proposal calendars and timelines to ensure on-time submission.
  • Assist in the development of strategic approaches for proposal submissions, including value propositions and differentiation strategies. Tailor proposals to address client pain points and demonstrate Team Housing Solutions’ value added.
  • Manage proposal timelines and deadlines effectively, coordinating with internal teams to gather necessary information and meet submission requirements. Prioritize tasks and allocate resources to ensure timely delivery of high-quality proposals.
  • Maintain document version control and organize files in the proposal repository.
  • Prepare and update proposal templates and boilerplate materials.

Capture Support

  • Assist in researching and tracking federal, state, and local government business opportunities using platforms such as SAM.gov, GovWin, and other state and local procurement platforms.
  • Monitor and maintain a pipeline of potential business opportunities and update internal tracking systems accordingly.
  • Support the development of capture plans by compiling and maintaining competitor information, past procurement data, and customer intelligence.
  • Assist in coordinating team meetings, communications, and action items related to capture activities.
  • Help prepare capability statements, team presentations, and summaries of opportunities for internal decision-making.
  • Participate in industry days, webinars, and government briefings as directed and record takeaways.

Document And Knowledge Management

  • Maintain an organized library of past proposals, templates, and reference materials.
  • Track and store relevant opportunity documentation (RFPs, RFIs, amendments, Q&A, etc.) for easy access.
  • Ensure documents meet formatting and compliance standards prior to submission.

Required Qualifications

  • Bachelor’s degree or equivalent experience in Business, Communications, Marketing, Liberal Arts, or a related field. Advanced degree preferred.
  • 5+ years of experience in proposal writing, business development, and government contracting. Preferred 10+ years of experience in proposal writing for government contracts or grants.
  • Excellent writing, editing, and proofreading skills, with a strong command of grammar, punctuation, and style.
  • Ability to distill complex information into clear and concise language tailored to diverse audiences.
  • Strong research and analytical skills, with the ability to gather and synthesize information from multiple sources.
  • Detail-oriented with a focus on accuracy and quality.
  • Ability to work effectively under pressure and meet tight deadlines.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.

Preferred Qualifications

  • Experience using government procurement platforms (SAM.gov, GovWin, etc.).
  • Previous experience in proposal or grant writing.
  • Experience working in a fast-paced or deadline-driven environment.
