Operations Coordinator Job Description

Location: Austin, TX (hybrid)

Valkyrie is an applied science firm that builds industry-defining custom AI, ML and Knowledge Engineering solutions. Our interdisciplinary applied science teams support our clients from data normalization all the way through model deployment. Our work can be found across industry from SiriusXM, Activision, Chubb Insurance, and the Department of Defense, to name a few.

Operations Coordinator Position

The Operations Coordinator will play a critical role in keeping Valkyrie running smoothly and efficiently. This role combines office management, IT/device oversight, employee lifecycle support, finance assistance, and key operational functions such as insurance, contract management, and compliance. Reporting to the VP of People and Operations, the Operations Coordinator will ensure day-to-day operations are seamless while also supporting high-impact initiatives with the COO related to compliance, government programs, and investor needs.

Operations Coordinator Responsibilities

Office & Facilities Management

  • Oversee the day-to-day operations of the Austin office (~30 employees), ensuring a productive and well-maintained workspace.
  • Manage vendor relationships, office supplies, and equipment needs.
  • Coordinate onsite events, meetings, and visitor arrangements.

IT & Device Management

  • Maintain inventory and lifecycle management for company laptops, monitors, and other devices.
  • Coordinate with IT vendors and service providers to resolve issues quickly and efficiently.
  • Implement and oversee access, security, and compliance protocols for company systems.

People Operations Support

  • Partner with the VP of People and Operations to execute onboarding and offboarding processes, ensuring a smooth employee experience.
  • Support employee relations efforts by helping track and manage internal communications, policies, and documentation.
  • Assist with maintaining HR and operational records in compliance with applicable laws and regulations.

Business Operations & Finance

  • Manage company business insurance policies, renewals, and claims.
  • Support contract management, including tracking, renewals, and storage of agreements.
  • Assist in implementing and monitoring operational processes and policies for efficiency.
  • Support finance activities such as expense tracking, invoice processing, and coordinating with accounting on vendor payments and reimbursements.

Executive & Strategic Support

  • Partner with the COO to support compliance, government initiatives, and investor-related tasks.
  • Assist with gathering data and preparing reports or presentations for leadership, investors, and other stakeholders.
  • Support cross-functional projects that improve operational scalability and efficiency.

Operations Coordinator Qualifications

  • Bachelor’s degree in business administration, operations management, or related field preferred.
  • 4+ years of experience in operations, office management, or administrative leadership, preferably in a startup or professional services environment.
  • Experience supporting finance functions such as expense reporting, invoice processing, or budget tracking.
  • Strong organizational and project management skills with the ability to manage multiple priorities.
  • Proficiency with productivity tools (Google Workspace, Slack, project management software).
  • Experience with IT asset management and vendor coordination preferred.
  • Excellent interpersonal and communication skills with a collaborative mindset.
  • Discretion and professionalism in handling confidential and sensitive matters.

The Pay Range For This Role Is

75,000 - 95,000 USD per year(Austin)
