Position Summary / Objective:

The Human Resources Specialist - Benefits & Leave Administrator oversees the full administration of employee benefits and leave programs, including enrollment, compliance, and employee support. This role manages benefits vendors, processes qualifying life events, and ensures timely, accurate updates to HRIS, carriers, and payroll. It coordinates leaves of absence in compliance with federal, state, and multi-state regulations, prepares required reports and filings, and maintains accurate records for audits. The position also delivers benefits education, supports wellness initiatives, and stays current on laws and best practices to recommend policy and process improvements.

  • Administer employee benefits programs, including health, dental, vision, life insurance, disability, COBRA, and other specialized benefits programs.
  • Manage benefits enrollment, changes, and terminations through HRIS and benefits platforms; ensure accurate and timely updates to carriers and payroll.
  • Serve as primary contact for benefits inquiries, providing guidance and resolving employee issues.
  • Coordinate and track leaves of absence (FMLA, state family leave laws, military leave, disability, etc.), ensuring compliance with federal and multi-state regulations and documentation requirements.
  • Oversee benefits compliance, including ACA reporting, Form 5500 filings, Summary Annual Reports, and adherence to DOL, IRS, HIPAA, COBRA, and state-specific benefits laws.
  • Conduct benefit orientations, open enrollment, and employee education sessions; maintain updated benefits information on the company intranet.
  • Reconcile benefits data, review vendor invoices, and monitoring.
  • Collaborate with brokers, carriers, and third-party administrators to address issues and implement program improvements.
  • Prepare and maintain accurate reports, records, and documentation for audits, compliance, and management review.
  • Establish and maintain an employee wellness program.
  • Stay current on benefits laws, regulations, and best practices across multiple states; recommend policy and process updates to ensure compliance.
  • Administers benefit enrollment and changes for employees through online benefits platforms; ensure timely notification to carriers regarding new hires, qualifying events, terminations, and ineligible dependents; reconcile changes as required.
  • Generates and analyzes monthly reports to support benefits administration and ensure compliance with regulatory requirements.
  • Processes employee qualifying life events (QLEs), ensuring all documentation is complete and systems are updated.
  • Maintains and updates benefits-related materials and resources on the company intranet to ensure employees have access to current information.
  • Serves as a primary point of contact for employee benefit-related inquiries; provides resolution, guidance, and support as needed.
  • Supports other Human Resources duties as assigned.

Required education and experience:

  • Bachelor’s degree in Human Resources, Business Administration, or related field.
  • 3+ years of HR experience, including benefits and leave administration. Equivalent education and experience considered.

Preferred education and experience:

  • Proficiency with ADP Workforce Now
  • Government Contracting Experience

Competencies:

  • Knowledge of HR practices, procedures, and applicable laws, including retirement benefits, COBRA, FMLA, ACA, ADA, and HIPAA.
  • Proficient in Microsoft Office and other relevant software; skilled in using standard office equipment.
  • Strong ability to coordinate, manage, and analyze data; develop strategies; and prepare accurate reports, manuals, and presentations.
  • Effective verbal and written communication skills.
  • Sound judgment, decisiveness, creativity, and initiative in managing programs.
  • High level of confidentiality, integrity, and professionalism.
  • Ability to build and maintain positive working relationships while working in high-pressure situations.
  • Commitment to staying current on laws, regulations, and industry best practices.

Position Type/Expected Hours of Work:

The typical workday is eight hours in length, with a 5-day work week. Some flexibility in hours is allowed, with approval from the supervisor. Must be available during the core work hours as determined by your work location and supervisor and must account for the required number of hours in a pay period to maintain Full-time status.

Telework:

  • This is an in-office position, exceptions at the discretion of the HR Director.

Travel:

  • Occasional travel to various CONUS locations may be required.
