Position Summary: Under general supervision, but in line with established PC&HC policies and procedures, assists administrative staff and greets patients/visitors.
Essential Functions
- Represent PC&HC to the patients, customers, and guests in a courteous and professional manner. Provide prompt, efficient, and accurate patient/customer service.
- Maintain a strong customer focus while working collaboratively within the team's multiple demands and patient needs.
- Treat all patient information confidentially and in accordance with established guidelines.
- Serves as Executive assistant to the chief executive officer and liaison between CEO and employees.
- Responsible for coordinating and organizing the Board of Director's meeting, Board Committee meetings, and minutes with the CEO and CFO
- Coordinates Peer Review
- Answer telephone, screen calls, provides information to callers as directed with excellent telephone etiquette.
- Maintain appointment and facility schedule.
- Complete projects and develop a filing system.
- Greet customers and visitors and direct appropriately.
- Assist Executive Staff with grant writing and research.
- Provide administrative support to the CEO and executive staff for a variety of reporting, planning and analytical tasks.
- Enhance executive's effectiveness; represent the executive; conserve executive's time.
- Coordinate professional meetings and staff events with the CEO.
- Assist with employee staffing schedule.
- Ensure all approved time off requests are blocked appropriately in EMR.
- Maintain confidentiality of health center, personnel, and research matters.
- Serve as administrative staff business correspondent with writing and developing professional documents, including memos and business letters, phone calls, faxing and emails.
- Prepare memos, agendas, notices, minutes, and resolutions for professional meetings conducted by executive staff.
- Coordinate health center travel plans and itineraries
- Perform all other duties as required or assigned.
Requirements
- Bachelor's Degree required.
- PC proficiency and strong skills in MS Word, Excel, Outlook, and Power Point.
- Must have excellent organizational skills.
- Must have professional writing skills.
- Must follow all HIPAA and OSHA requirements.
- Must be able to lift 30 pounds.
- Must be able to operate or have ability to be trained to operate office equipment.
- Must be supportive of our mission in order to provide healthcare to the underinsured and uninsured.
