Here’s What You’ll Do

  • Coordinate complex scheduling and extensive calendar management for the BOG, TPC and TE, prioritizing the most sensitive matters.
  • Support management of the internal Leadership Calendar, cross collaborating with departments to keep up to date.
  • Partner with the Board of Governors chair and CEO to create annual Board and Mission Team calendar, send reminders and provide additional support as needed.
  • Assist governing bodies with meeting and event planning and hosting outside partner organizations and vendors as needed.
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
  • Communicate with external parties, like OGC investors and stakeholders, including responding to inquiries.
  • Partner with departments to develop and prepare the distribution of reports and statements.
  • Perform all administrative duties for governing bodies and governance committees.
  • Plan, organize, and coordinate logistics of governance meetings. Includes all aspects of event planning: secure venues, coordinate logistics, audio-visual/IT needs, catering, agendas, schedule, materials preparation, travel, and other related services.
  • Manage registration, lodging, and logistics communication for governing bodies in alignment with guidelines set for timing, cost, and quality.
  • Assist with the Trust’s Annual Election Process – setting key election dates, writing, and editing election materials.
  • Develop and reconcile Board of Trustees budget.
  • Compile and provide orientation materials for newly elected Board members.
  • Utilize Microsoft software and board governance records software to manage record retention.
  • Read and analyze incoming memos, submissions, voice mails, and reports to determine their significance and their distribution.

Requirements

Qualified candidates will have:

  • 5 + years successfully supporting executive management level positions .
  • Proven track record developing and delivering complex process and meeting frameworks in a simplified, organized, and clear operational rhythm for leaders to follow.
  • Experience successfully managing business travel for multiple internal customers.
  • Demonstrated project management experience.
  • Experience operating in a deadline-driven environment.
  • Must be proficient with Microsoft Suite and Zoom.
  • Keen organizational agility/savvy and influencing skills. Detail-oriented, organized, and effective time management skills required.
  • Self-directed, able to manage multiple conflicting priorities.
  • Exceptional writing and editing skills.
  • Excellent interpersonal, communication and listening skills.? Ability to work effectively with all OGC stakeholders: coworkers, growers, customers, community allies, and mission-aligned investors.
  • Strong ability to learn our board governance software and guide others in its use.

Physical Requirements

This position requires the ability to sit for long periods of time. In addition, repetitive motion, mainly of the shoulder, back, wrist, and hands, may be required in this position. Standing, stooping, and bending are required. Ability to meet the above description of position with or without reasonable accommodation.
