Position Overview

NEXGEN Asset Management is the industry-leading asset management software that combines a robust computer maintenance management system with advanced asset management planning tools.

We’re seeking a proactive, organized, and detail-oriented Executive Assistant to support our President/CEO and leadership team. This role is central to keeping our operations running smoothly. The ideal candidate thrives in a dynamic environment, enjoys wearing multiple hats, and is eager to grow alongside our company.

What You’ll Do

  • Executive & Leadership Support: Manage the CEO’s calendar, coordinate meetings, arrange travel, prepare documents, and handle confidential information with discretion. Act as the primary liaison on behalf of the CEO with internal and external stakeholders.
  • Operations & Finance: Support timesheet management, payroll reporting, AR/AP, expense reports, and quarterly tax filings.
  • HR & Onboarding: Coordinate onboarding logistics to ensure a seamless new-hire experience.
  • Compliance & Security: Maintain monthly compliance and security tracking/reporting.
  • Cross-Team Coordination: Facilitate communication across departments to ensure smooth workflows and alignment on priorities.
  • Office & Culture: Oversee office management (supplies, logistics) and organize team-building activities to foster company culture.
  • Client Engagement: Occasionally accompany the CEO to client meetings, supporting relationship-building and project delivery.

What We’re Looking For

  • Bachelor’s degree in Business Administration, Communications, or related field.
  • 4+ years of professional experience, including at least 2 years supporting C-level executives.
  • SaaS/software industry experience a plus.
  • Highly organized with excellent attention to detail and time management skills.
  • Strong communicator with exceptional interpersonal and writing skills.
  • Proactive, resourceful, and able to anticipate needs before they arise.
  • Comfortable balancing multiple priorities in a fast-paced environment.
  • Tech-savvy; proficient with Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint) and comfortable with web and mobile applications.

Location: Sacramento, CA (in-office 4 days per week, 1 remote day per week)

Compensation: Starting salary range of $70,000/year, dependent upon experience
