This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening the community through youth development, healthy living, and social responsibility. The Administrative & Recruiting Coordinator provides essential administrative support to the Human Resources department while managing recruitment and onboarding processes for the YMCA of the Pikes Peak Region. This role also supports the Youth Development department in an administrative capacity, assisting with staff scheduling, communication, training coordination, and recordkeeping. The Coordinator is responsible for coordinating job postings, applicant screening, interview scheduling, onboarding documentation, and HR data management, as well as assisting with general office administration, compliance reporting, and supporting the operational needs of Youth Development and other programs. This position ensures efficient and professional communication with candidates, hiring managers, and staff, contributing to a positive recruitment, onboarding, and employee experience.

Recruiting & Onboarding
- Coordinate and post job openings on internal and external job boards.
- Screen resumes and applications to identify qualified candidates.
- Schedule interviews and communicate with applicants throughout the hiring process.
- Prepare and distribute offer letters, onboarding packets, and new hire documentation.
- Ensure all pre-employment requirements, background checks, and verifications are completed.
- Support hiring managers in following YMCA recruitment policies and procedures.
- Maintain accurate employee and applicant records in HRIS and applicant tracking systems.
- Provide administrative support to the Youth Development department, including staff scheduling, training coordination, and compliance documentation.
- Assist with payroll submissions, timesheet tracking, and attendance records for Youth Development staff.
- Coordinate staff meetings, prepare agendas, and take meeting minutes as needed.
- Prepare correspondence, reports, and department communications.
- Assist with tracking certifications, trainings, and background check renewals for Youth Development employees.
- Support program events by coordinating logistics, preparing materials, and ensuring proper documentation is maintained.
- Incorporate “Caring, Honesty, Respect, Responsibility” into all aspects of the position, to ensure YMCA values are promoted and adhered to.
- Maintain a consistent professional image through dress, actions, and relationships with others. Speak enthusiastically on behalf of the YMCA at given opportunities.
I will support the YMCA of the Pikes Peak Region’s commitment to child abuse prevention by
- Reporting any suspicious behavior and violation of policy and procedures to your supervisor
- Following all policies and procedures related to keeping children safe in our facilities and programs, including those related to the monitoring and supervision of children
- Completing all child abuse prevention training as required
- Reporting any items that may provide a health or safety hazard to staff, members, or guests to your supervisor
- Associate’s degree in business administration, communications, or a related field (Bachelor’s degree preferred).
- Minimum of 2 years of experience in recruiting, staffing coordination, or administrative support.
- Knowledge of recruiting practices, candidate sourcing, and onboarding processes.
- Proficiency in Microsoft Office Suite and applicant tracking systems; experience with scheduling tools a plus.
- Strong organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
- Excellent attention to detail and accuracy in data entry, scheduling, and documentation.
- Exceptional written and verbal communication skills for interacting with candidates, staff, and department leadership.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Professional demeanor with strong interpersonal skills and a customer service mindset.
- Experience supporting a multi-department environment or youth-focused programs preferred.
- Ability to remain in a stationary position for extended periods of time while working at a desk or computer.
- Frequent use of hands and fingers to operate a computer keyboard, mouse, and other office equipment.
- Ability to communicate effectively, both verbally and in writing, with employees and external partners.
- Occasional lifting and carrying of files, documents, or office supplies weighing up to 20 pounds.
- Visual acuity to review and analyze data on computer screens and printed materials.
- Ability to move within the office to access files, equipment, and attend meetings.
- Occasional standing, bending, or reaching as needed to complete tasks.
- Ability to work in a standard office environment with moderate noise levels.
