Your Job As An Administrative Support/Medical Billing

The Administrative Support/Medical Biller role will perform routine administrative functions such as preparing correspondence and reports, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to patients or visitors. The Administrative Support/Medical Biller may work with patients to secure billing information, reconciling billing reports and verifying insurance for patients.

Responsibilities

  • Establish, maintain and retrieve general files for clinic or department.
  • Manage and coordinate administrative programs or office activities.
  • Use computer software to create spreadsheets, manage databases, and prepare presentations, reports, and documents.
  • Answer telephones, takes messages or transfer calls.
  • Schedule appointments and update calendars.
  • Assist in arranging staff meetings, handle incoming/outgoing mail and faxes, prepare memos, invoices, or other reports.
  • Maintain databases and filing systems, whether electronic or paper.
  • Perform basic bookkeeping as needed.
  • May work with patients to secure billing information, reconciling billing reports and verifying insurance for patients.
  • Perform duties using specific knowledge of medical terminology and clinic procedures.

Qualifications

Your Education, Skills and Qualifications:

  • High School Diploma or GED equivalent is required.
  • 2+ years of experience in medical billing and coding required. Experience in mental health or addiction treatment clinics would be a strong advantage.
  • Knowledge of administrative processes and systems, such as word processing and spreadsheet software, managing files, and patient records.
  • Knowledgeable in handling insurance claims, including Medicare, Medicaid, and private insurers, as well as dealing with issues such as claim denials and appeals.
  • Precision in coding and entering patient data is key to preventing errors in billing and ensuring proper reimbursement.
  • Ability to resolve billing issues, including identifying and addressing coding errors, disputed claims, and underpayments.
  • Ability to communicate effectively with patients, providers, and insurance companies to clarify billing issues or discrepancies, both verbally and in writing.
  • Understanding of HIPAA regulations to ensure that patient information is handled securely and confidentially; high discretion with confidential information.
  • Ability to handle multiple tasks, keep track of numerous patient records, and meet deadlines.

Ideal Skills & Traits

  • Patient Advocacy: Often, MAT patients may face challenges with insurance or financial matters. The billing specialist should be compassionate and able to advocate on behalf of patients to ensure they receive the appropriate coverage and care.
  • Familiarity with MAT Protocols and Guidelines: The billing specialist should understand how Medication-Assisted Treatment works, including services like opioid substitution therapy (e.g., methadone, buprenorphine) and how these treatments are billed differently from other medical services
  • Technology Savvy:Proficiency in using electronic health records (EHR) systems and other relevant healthcare technologies.
  • Work Environment:Must be comfortable working in an opioid treatment program (OTP) recovery environment
