Responsibilities
- Responsible for providing a broad variety of advanced administrative support to a Cabinet Member including collecting and preparing information for meetings, composing and preparing correspondence, maintaining contact lists, making travel arrangements and completing expense and mileage reports.
- Schedules meetings for executive with internal staff and external individuals/organizations.
- Prioritizes inquiries and requests while troubleshooting scheduling conflicts to ensure smooth day-to-day engagements for the executive.
- Arranges and handles logistics for meetings and events: schedules meetings, drafts agenda’s, develops, compiles and distributes presentation materials and may record meeting minutes.
- Prepares reports and/or gathers information.
- Serves as the primary point of contact for internal leadership on matters pertaining to the executive including those of highly confidential and critical nature.
- Prioritizes and may determine appropriate course of action, referral or response based upon executive’s guidance.
- Works on other projects as assigned. Strong organizational skills and attention to detail.
- High degree of professionalism in dealing with diverse groups of individuals from inside and outside the organization.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Ability to react to appropriate levels of urgency to situations that require a quick response or turnaround.
- Ability to maintain a high level of integrity and discretion in handling confidential information.
- HS Graduate or Equivalent GED
- 3 years of experience as an Executive Assistant
- Proven experience coordinating complex travel arrangements, including frequent bookings for Government Relations-related travel to locations such as Tallahassee and Washington, D.C.
- Strong organizational skills with the ability to manage multiple travel itineraries and last-minute changes.
- Highly adaptable and flexible, with the ability to adjust quickly to shifting priorities and the dynamic nature of Government Relations work.
- Excellent communication and problem-solving skills to support evolving scheduling and logistical needs
