The Accounts Payable & Receivable Specialist is responsible for full-cycle processing of both vendor and customer transactions. This role ensures timely payments, accurate tracking of receivables, and effective communication with internal departments and external partners. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced environment.

Responsibilities

  • Process vendor invoices, back-charges, and payment vouchers accurately and on time.
  • Prepare and distribute checks, maintain accounts payable files, and compile reports.
  • Respond to vendor inquiries and perform vendor statement reconciliations.
  • Prepare monthly AP accruals in accordance with company policies and accounting standards.
  • Monitor accounts receivable aging reports and follow up on overdue balances.
  • Investigate and resolve billing discrepancies and payment-related inquiries.
  • Collaborate with the Land Controller to interpret contractual agreements with builders, ensuring accurate calculation, billing, and collection of all contractual fees.
  • Identify trends in collections and recommend process improvements.
  • Reconcile A/R subledger to the general ledger and support related reporting.
  • Work with internal and external partners to resolve account issues.
  • Maintain accurate and confidential financial and customer records.
  • Assist with special projects and perform other duties as assigned.

Requirements

  • Associate’s degree in Accounting, Finance, or related field preferred.
  • 2–5 years of experience in accounts payable, accounts receivable, or related accounting roles.
  • Proficiency in Microsoft Office (especially Excel); experience with accounting software (e.g., Newstar, QuickBooks, Sage, or NetSuite).
  • Strong attention to detail and accuracy in data entry and reconciliation.
  • Excellent organizational, analytical, and interpersonal skills.
  • Ability to manage multiple priorities in a deadline-driven environment.

Additional Requirements

  • This is an on-site position based in the Tampa Bay area and will require relocation if you are not currently located in the area. While the role is primarily in-person, there may be limited access to remote work at the discretion of management and based on business needs.
  • This is a non-exempt role, and any overtime worked requires prior approval from management. Failure to obtain management approval for overtime may result in corrective action in accordance with company policy.
  • Being authorized to work in the U.S. without employer sponsorship is a precondition of employment.
