Job Summary
- The Supply Chain System Administrator ensures the optimal performance and integrity of procurement systems across ScionHealth to support medical and non-medical supply purchases. This role partners closely with the Director of Purchasing, Supply Chain to maintain accurate and up-to-date system data, including item files, vendor files, user access, security, and approval workflows. The position provides user support, troubleshoots system issues, and recommends process improvements to enhance data quality and operational efficiency. Collaboration with internal IT teams, procurement software vendors, and other stakeholders is critical to the success of this role. The Administrator also assists the procurement team to ensure the timely processing of orders and invoices, supporting continuity of services across ScionHealth facilities.
- Ensures compliance with ScionHealth’s procurement policies, procedures, and standards as defined by the Centralized Supply Chain Operations team
- Maintains accuracy and integrity of procurement system data including item master, vendor records, user profiles, and approval workflows
- Provides training and support to system users, resolves system-related issues, and escalates complex problems as appropriate
- Configures procurement system workflows, approval chains, and settings to align with organizational needs
- Executes data imports and exports to facilitate bulk updates of managed files (e.g., items, vendors, locations)
- Participates in supply chain process improvement initiatives
- Collaborates with IT, sourcing, and other key stakeholders on system needs, enhancements, and project initiatives
- Prepares reports and communicates system performance metrics and project progress
- Performs other duties as assigned
- Proficient in Microsoft Office Suite (Excel, Word, Teams)
- Strong understanding of healthcare supply chain processes from product need identification to invoice payment
- Demonstrated experience with ERP or procurement systems (healthcare-specific systems preferred)
- Strong analytical, troubleshooting, and problem-solving skills
- Effective verbal and written communication skills with diverse audiences
- Ability to manage multiple priorities in a dynamic environment
- Approximate percentage of time required to travel: 10%
- Must read, write, and speak fluent English
- Office setting with frequent virtual interactions across ScionHealth locations
- Minimal exposure to biohazards or hazardous materials
- Interaction with multidisciplinary staff in a professional environment
Education
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field preferred
- Equivalent relevant experience may be considered in lieu of degree requirements
- None Required
- Minimum of three (3) years of experience in healthcare supply chain management utilizing an ERP or procurement software system across multiple locations
